We're looking for an EA and Marketing Lead who is not only highly organised but also able to think strategically, act independently, and use AI tools to improve workflows and productivity.
This is not a purely administrative role — it's an opportunity to become a vital part of our leadership support network, helping keep the business running efficiently, marketing sharp, and the founders focused on growth.
Role Overview
The EA and Marketing Lead will work directly with the founding partners to support day-to-day operations, marketing, client delivery, and business development.
You'll be responsible for keeping things organised, chasing progress, and ensuring priorities are executed effectively — while using modern tools and automation to make the company more efficient.
Key Responsibilities by Priority Area
1. CRM, Lead Management & Pipeline Tracking
- Maintain and update the CRM with leads, meeting notes, and next steps.
- Monitor follow-ups, ensuring no opportunity slips through the cracks.
- Generate regular CRM reports and dashboards for visibility on pipeline performance.
- Use AI to summarise call notes, generate insights, and automate updates where possible.
2. Partner Support, Organisation & Accountability
- Manage calendars, coordinate meetings, and prepare agendas.
- Track deliverables and action items across all projects, prompting the partners when deadlines approach.
- Create weekly summaries of key priorities and progress for internal alignment.
- Be assertive and proactive — helping the partners “stay honest” with agreed actions and commitments.
3. Marketing & Brand Presence
- Act as the main internal point of contact for our existing social media and marketing partners, briefing them and keeping campaigns on track.
- Coordinate the content calendar with our marketing partners, ensuring it stays aligned with business priorities and upcoming campaigns.
- Draft post ideas and source supporting material to feed into our partners' content production.
- Assist with newsletters, blogs, and short-form content creation.
- Review engagement analytics and reporting from our marketing partners, and help translate insights into next steps.
4. Client Materials: Pitch Decks, Proposals & Presentations
- Create, edit, and format client-facing decks and proposals in PowerPoint, Canva, or Google Slides.
- Use AI and templates to enhance presentation design, copy, and storytelling.
- Maintain a content library of templates, slides, and case studies for reuse.
5. Operations & Administration
- Oversee digital file management, naming conventions, and structure in shared drives.
- Maintain standard operating procedures (SOPs) and process documentation.
- Manage subscriptions, tools, and accounts used across the business.
- Prepare expense summaries, invoices, and light financial tracking using Excel or cloud software.
- Support onboarding for new freelancers, clients, or partners.
6. Project & Workflow Management
- Track key project milestones and dependencies using Notion, ClickUp, or Trello.
- Proactively identify blockers or delays and alert relevant team members.
- Suggest and implement workflow improvements using automation tools (e.g., Zapier, Airtable Automations).
7. Research & Intelligence Gathering
- Conduct light market and competitor research to support business decisions.
- Use AI summarisation and synthesis tools to produce concise intelligence reports.
- Research prospective clients, partners, or event opportunities.
8. Event & Meeting Coordination
- Prepare briefing notes before client meetings and record key outcomes afterward.
- Help coordinate webinars, digital events, and conferences where Digital Delivered participates.
- Support light-touch outreach such as event invites and follow-up scheduling, as needed.

- You communicate professionally, build credibility quickly, and adapt your style to different audiences and situations.
- Strong digital and marketing capability
- You are proficient in Microsoft Office (Outlook, Excel, PowerPoint, OneDrive, shared calendars) and comfortable with AI productivity tools and CRM systems, with experience coordinating external marketing or agency partners.

Contract & Working Hours
- Type: Full-time, permanent position.
