The Finance Assistant is responsible for the efficient processing of day-to-day financial transactions and provides essential administrative and operational support to the Finance team and the wider organisation. The role offers broad exposure across transactional finance and would suit someone looking to build or develop a career in finance within the arts and cultural sector.
As a seasonal performing arts organisation, the role also supports operational activities during the performance season and requires flexibility, strong organisational skills and a willingness to work collaboratively across departments.
Key Responsibilities
Transactional Finance
- Process purchase ledger invoices accurately and in a timely manner.
- Process sales ledger transactions and maintain accurate customer records.
- Prepare supplier payment runs and deal with supplier queries promptly and professionally.
- Carry out regular bank and credit card reconciliations.
- Process and reconcile income received through Spektrix and other income streams.
- Support the preparation and reconciliation of ticket income and membership reporting.
- Process employee expenses in accordance with organisational policies and procedures.
- Assist with month-end processes and other finance activities as required.
Finance Administration and Operational Support
- Provide administrative support to the Finance function and wider organisation.
- Maintain accurate financial records, filing systems and supporting documentation.
- Support seasonal administrative activities associated with performances and events.
- Provide operational support during the performance season, assisting colleagues across the organisation where required.
- Contribute to the continuous improvement of finance processes and procedures.
- Undertake other duties commensurate with the level of the role.
Person Specification
Essential
- Excellent attention to detail and a high degree of accuracy.
- Strong numerical, organisational and administrative skills.
- Ability to manage a varied workload and prioritise effectively.
- A proactive, flexible and collaborative approach to work.
- Strong communication and interpersonal skills, with the ability to build effective working relationships.
- Good IT skills, including proficiency in Microsoft Excel and other Microsoft Office applications.
- Ability to handle confidential information with discretion and professionalism.
Desirable
- Previous experience in a finance, accounts or administrative role.
- Experience of purchase and sales ledger processing, reconciliations and expense administration.
- Experience of using Sage Intacct
- Experience of using Spektrix or a similar ticketing or CRM system.
- Studying or having studied finance, or working towards an accountancy qualification such as AAT, ACCA, CIMA or ACA.
- An interest in, or enthusiasm for, the arts and cultural sector.
