We are looking for a motivated, professional and patient-focused GP Receptionist/Administrator to join our friendly Practice team. This is a vital front-of-house role that supports the smooth running of the surgery and ensures our patients receive an excellent level of care from the moment they contact us.
Key Responsibilities
As part of the Receptionist/Administrator team, your duties may include:
Reception & Patient Contact
- Answering telephone calls promptly, sensitively and professionally, prioritising incoming calls as instructed.
- Processing personal and telephone requests for appointments, home visits and telephone consultations.
- Directing callers and patients to the appropriate healthcare professional.
- Initiating contact with and responding to patients, colleagues and external healthcare providers.
Administration
- Opening and locking up the Practice premises and ensuring security protocols are followed.
- Maintaining and monitoring the Practice appointments system.
- Processing incoming and outgoing mail.
- Taking messages and passing on information accurately and efficiently.
- Filing, retrieving paperwork and processing repeat prescriptions in line with Practice guidelines.
- Data entry, data allocation and maintaining accurate computer records following Practice procedures.
- Carrying out word processing, data processing, photocopying, scanning and other administrative tasks as required.
Practice Support
- Clearing and restocking consulting rooms when needed.
- Keeping the reception area, noticeboards and leaflet displays tidy and up to date.
- Completing other duties as reasonably required by Partners or the management team.
- Adapting to changing IT systems, funding requirements and workflow demands.
Person Specification
Essential Qualifications & Skills
- Good standard of GCSEs, including Maths and English.
- Confident user of MS Outlook, Excel and Word.
- Experience working with the general public.
- Ability to remain calm under pressure and work autonomously.
- Strong organisational skills with the ability to prioritise workload.
- Problem-solving skills and experience working to tight deadlines.
- Enthusiastic, proactive, flexible and self-motivated.
- Polite, confident and willing to undertake further training.
- Excellent interpersonal and communication skills (written and oral).
- Approachable, professional and capable of handling sensitive information.
- High level of accuracy and attention to detail.
- Ability to cope in distressing situations with empathy and discretion.
- Diplomacy and a positive, professional attitude.
Desirable
- Experience working in a GP Practice or within the NHS.
- Familiarity with NHS performance targets.
- Experience using SystmOne appointment system.
- Understanding of GDPR and general IT security.
