Team PA & Administrator (Project Manager & Systems Thinker)
TYPE OF WORK: Part Time
LOCATION: UK-based, ideally Kent. Hybrid role, in person at least 3 days a week: 2 days in
our Kent office, 1 day in Central London.
WAGE / SALARY: £15–£18 per hour (dependent on experience)
HOURS PER WEEK: 20 hours, across 3–4 days

We’re looking for a highly organised PA and Administrator with project management and
CRM experience to join our small, fast-moving team. You’ll work closely with our founder
and alongside our existing administrator, who focuses on design, research and content, to
keep the business running smoothly and help us build the systems we need to scale.

We’re growing internationally, and we need someone who genuinely gets what we do and
where we’re going, not just someone who can run a diary and a CRM.
What you’ll do
1. Manage the founder’s diary, inbox, and day-to-day priorities
2. Manage projects for team members: assign, track, and follow up on tasks end-to-end
3. Own SOPs and documentation: create, maintain, and keep them up to date across the
business
4. Build and improve systems and processes across the business as we scale
5. Manage and optimise our CRM, keeping data clean, structured and useful
6. Plan and support the delivery of events, including logistics and on-the-day coordination
7. Use AI tools to streamline admin, reporting and workflows
8. Handle general administration and process management
What we’re looking for
- Proven PA/admin experience, ideally with project management exposure
- Experience with CRM tools and data management
- Confident using AI tools day-to-day to work smarter and faster
- A systems-thinker: someone who spots inefficiencies and fixes them
- Highly organised, calm under pace, strong follow-through
- Comfortable working independently in a small team
- Excellent written and verbal communication
- Genuinely connects with our mission of supporting doctors and growing our global community
