Job Summary
We're looking for an organised, self-motivated and personable administrator to manage the day-to-day operation of the club and act as the key point of contact for members, visitors, and committee officers. The role covers membership administration, court and facilities booking, bar management oversight, website upkeep, and support for the club's annual programme of events.
Key responsibilities
● Manage membership administration, including new member registration on ClubSpark, renewals, and general member support
● Manage the club's security access system (door codes, fobs) in liaison with the service provider
● Coordinate the Annual Club Plan through close liaison with the club’s officers, including social events, tennis and padel activity, key Health & Safety tasks and committee meetings.
● Manage court bookings and the padel booking process, including refunds and equipment hire
● Maximise income through selective marketing as well as researching and supporting applications for relevant grants and funding
● Manage and facilitate private court hire, liaising with the Clubhouse and Bar Secretaries and any other key stakeholders.
● Maintain and improve the club website in line with committee priorities
● Oversee day-to-day bar operations, staff rotas, and recruitment, liaising with the Bar Supervisor as necessary.
● Provide reports as required for the General Committee, take minutes if and when required and circulate them promptly.
● Support policy oversight, ensuring club policies remain current and accessible
● Arrange essential training for club employees and keep full records.
● Act in line with all club policies at all times, including safeguarding and GDPR
● Any other duties as may reasonably be required for the post.
Training with the relevant software will be provided as necessary.
Person specification
Essential:
● Excellent verbal and written communication skills; a friendly, confident and professional first point of contact for a wide range of people
● Highly organised, self-motivated, and able to manage a varied and seasonally fluctuating workload
● Confident with IT and able to learn new software quickly; proficient in widely used office applications
● Reliable, trustworthy, and able to maintain confidentiality at all times
● Able to manage occasional conflict calmly and professionally
Desirable:
● Experience of membership or club administration, ideally in a sports or membership club setting
● Experience with ClubSpark or similar membership management platforms
● Experience supporting grant or funding applications
Safeguarding and background checks
This role may involve unsupervised contact with children and/or access to confidential information. The successful candidate may be required to undergo a criminal records (DBS) check at the appropriate level.
