Job Title: Personal Assistant / Executive Assistant to CEO
Location: Office-based (Monday to Friday, 9 a.m. – 5 p.m. with flexibility to work outside of these hours)
Salary: £35,000 – £38,000 per annum
About the Role:
We’re seeking an experienced, proactive, and highly organised Personal/Executive Assistant to support the CEO across a portfolio of social care, property and marketing businesses. You will be the anchor in a fast-paced, multifaceted environment, ensuring the CEO operates at peak efficiency, both professionally and personally.
Key Responsibilities:
- Calendar & Time Management:
- Manage and optimise the CEO’s daily schedule ensuring priorities are met.
- Book meetings with internal teams (social care staff, property, marketing teams) and external stakeholders (local authorities, commissioners, contractors, partners etc.).
- Ensure the CEO has adequate prep time for key events, meetings, and personal commitments.
- Inbox & Communication Management:
- Take ownership of multiple email inboxes prioritise, respond, and escalate as needed.
- Draft and refine communications for the CEO ensuring a professional and timely response across all stakeholders.
- Personal Life & Travel Organization:
- Book family holidays, children’s activities, personal appointments, and day-to-day personal tasks.
- Handle travel logistics (flights, accommodation, itineraries) for both business and personal trips.
- Personal Brand & Networking:
- Research and arrange industry events and networking opportunities to elevate the CEO’s profile.
- Assist with personal branding activities (LinkedIn, speaking engagements, thought leadership, etc.).
- Administrative & Confidential Tasks:
- Handle confidential information with discretion; manage personal documents, IDs, and sensitive matters.
- Liaise with solicitors, accountants, and other professionals on behalf of the CEO.
- Business Support & Project Coordination:
- Support the CEO’s project pipeline- track tasks, follow up with teams, and coordinate projects across social care and property ventures. This includes liaising with tradesmen, sourcing materials/products and obtaining quotes for works
- Assist in preparing for strategic meetings, tenders, and presentations.
- Personal Development Support:
- Help the CEO improve productivity, health, and networking- suggest tools, routines, or personal efficiency improvements.
- Act as a trusted confidant and sounding board, offering insight and guidance.
Ideal Candidate:
- Proven experience supporting CEOs, directors, or founders.
- Exceptional organisational skills and the ability to manage chaos with calm.
- Excellent communication and interpersonal skills, comfortable engaging with diverse groups (construction, social care, local authorities).
- High discretion, able to handle personal and confidential matters.
- Self-starter who can guide and advise the CEO on productivity and efficiency.
- Experience working in fast-paced, multifaceted environments.
- Tech-savvy and adaptable to various systems.
