The role
As the Transport Assistant you will be at the heart of transport coordination across flights and rail, this role ensures every detail is accurate and every customer journey runs smoothly. Working across multiple systems and in close collaboration with airlines, rail providers, and internal teams, key activities include booking, ticketing, managing changes, and maintaining up to date travel information aligned to tour requirements. From schedule changes and cancellations to ancillary services and guest requirements, a strong focus is placed on delivering transport arrangements to the highest standard.

This role supports hybrid working, with three days in the office each week and the remaining days working from home.
Shift pattern Monday to Friday on a rota basis, either 8am to 4.30pm or 9am to 5.30pm, with participation in an on-call rota providing weekend or out‑of‑hours support when required.
What you’ll be doing:
- Check availability and costs, and secure appropriate flight and rail bookings for guests
- Manage group and ad hoc bookings using systems such as Amadeus, rail booking platforms, supplier portals, websites, email, and telephone
- Obtain and manage quotes for group travel, upgrades, and ancillary transport products
- Ensure all guest extras are accurately booked and confirmed, including seating, meal requests, medical and accessibility requirements
- Manage multiple shared inboxes, responding to internal and external queries within agreed service level agreements
- Process schedule changes, cancellations, and refunds, updating packages and bookings within Traveller
- Maintain accurate transport and product information, carrying out quality checks to ensure documentation is correct prior to travel
- Build and maintain strong working relationships with airline and rail suppliers, collaborating closely with Operations, Capacity Management, and guest-facing teams to resolve transport-related queries
Your expertise:
- Strong attention to detail and a high level of accuracy
- Excellent communication skills, both written and verbal
- Proven ability to manage and prioritise multiple tasks and inboxes
- Strong organisational and time management skills
- A proactive approach with strong problem-solving capability
- Ability to work both independently and as part of a wider team
- Experience with Amadeus or other GDS systems would be beneficial
- Confidence using Excel and working with data and spreadsheets
- Flexibility to support changing workloads and deadlines
