Job Overview
We are seeking an experienced and highly organised Document Control & Compliance Coordinator to join our team on a part-time basis.
The role will involve maintaining controlled company documents, compliance records, staff and contractor files, training records, trackers, policies, procedures and electronic filing systems.
The successful candidate will have previous experience in document control, compliance administration, quality management systems or a similar role. You will also provide general office and operational support when required.
Responsibilities
- Maintain and control company procedures, forms, templates, registers and electronic folders, including document numbering, version control, approvals, review dates and archiving.
- Maintain accurate employee, surveyor, freelancer and contractor records, including contracts, qualifications, right-to-work documents and training certificates.
- Maintain training, competency, CPD, holiday, sickness, probation and document-expiry trackers.
- Support the organisation and maintenance of the Company’s Quality Management System and compliance records.
- Follow up with staff and contractors for missing documents, information, signatures and evidence.
- Support onboarding, offboarding, recruitment and general HR administration where required.
- Provide general office and operational support, including handling calls and emails, coordinating bookings and assisting with quotations, reports, purchase orders and invoices.
Skills and Experience
- Previous experience in document control, compliance administration, quality management systems or a similar role is essential.
- Strong organisational skills and attention to detail.
- Experience maintaining controlled documents, trackers and structured electronic filing systems.
- Confident using Microsoft Office, Teams, SharePoint or similar systems.
- Good written and verbal communication skills.
- Able to manage confidential and sensitive information professionally.
- Reliable, proactive and capable of working independently.
This is a permanent, part-time, office-based role in Hounslow, working Wednesday and Friday from 9:00am to 5:00pm. The role is initially 14 hours per week, with scope for additional hours for the right candidate as the position develops.
