South Northants Volunteer Bureau (SNVB) is a registered charity dedicated to supporting, developing, and promoting local voluntary and community activity. From community transport schemes to digital inclusion projects and volunteer matching, we help improve the lives of residents across South Northamptonshire. We are looking for a reliable, detail-oriented Bookkeeper to manage our day-to-day financial operations and help ensure our charity remains financially resilient and compliant.
Role Purpose
The Bookkeeper will manage all day-to-day financial transactions, maintaining accurate and up-to-date accounting records. This role is vital in ensuring that our financial processes run smoothly, our funders receive accurate reports, and our management team has the clear financial visibility needed to make strategic decisions.
Key Responsibilities
Daily Financial Management
- Data Entry & Reconciliation: Record all financial transactions, including bank deposits, payments, and invoices, using our accounting software (e.g., QuickBooks).
- Accounts Payable: Process supplier invoices, verify expense claims, and prepare weekly/monthly payment runs for authorisation.
- Accounts Receivable: Issue invoices for services, track outstanding payments, and manage credit control promptly and effectively.
- Bank Reconciliation: Perform regular reconciliations of all bank accounts, credit cards, and petty cash.
Charity & Fund Accounting
- Restricted Fund Tracking: Monitor income and expenditure against specific grants and restricted funds to ensure strict compliance with donor requirements.
- Gift Aid: Prepare and submit Gift Aid claims to HMRC where applicable.
Payroll & Expenses
- Payroll Processing: Manage the monthly payroll process (either directly or via an external bureau), including calculating deductions, pensions, and processing volunteer expense claims.
Reporting & Compliance
- Financial Reporting: Produce monthly management accounts, including cash flow forecasts and variance analysis, for the CEO and Board of Trustees.
- Year-End Support: Prepare financial records and documentation for the independent examiner or auditor at the end of the financial year.
Skills & Experience
Essential:
- Proven experience working as a bookkeeper or accounts assistant, ideally within the voluntary or non-profit sector.
- Solid understanding of standard accounting principles and restricted/unrestricted fund accounting (Charity SORP knowledge is a major plus).
- Proficiency in cloud-based accounting software and advanced skills in Microsoft Excel.
- Strong attention to detail with an organised, methodical approach to managing paperwork and digital records.
- Excellent communication skills, with the ability to explain financial data clearly to non-financial colleagues.
Desirable:
- A relevant accounting qualification (e.g., AAT Level 3 or higher, ICB, or IAB).
- An understanding of the unique challenges and environment of small local charities.
