Job Summary
We are seeking a highly organised and proactive Office Administrator to provide comprehensive administrative support to both the Logistics and Sales departments. The successful candidate will play a key role in ensuring the efficient processing of customer sales orders, coordinating logistics activities, maintaining accurate records, and delivering excellent customer service. This position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities within a fast-paced environment.
Key Responsibilities
- Process customer sales orders accurately and efficiently from receipt through to dispatch and invoicing.
- Provide administrative support to the Sales Team, ensuring orders are entered, processed, and monitored in accordance with customer requirements.
- Liaise with customers to provide updates on order status, delivery schedules, and resolve any order-related queries.
- Coordinate deliveries and collections with warehouse staff, transport providers, couriers, suppliers, and customers to ensure timely and efficient distribution.
- Prepare and process logistics documentation, including delivery notes, purchase orders, invoices, shipping documentation, and other related paperwork.
- Maintain accurate records of customer orders, stock movements, shipments, inventory, and transport information using the company's systems.
- Support the Logistics Department with the day-to-day coordination of transport activities and warehouse administration.
- Monitor shared email inboxes, answer telephone enquiries, and respond to customer and supplier communications in a professional and timely manner.
- Prepare reports, spreadsheets, and administrative documentation to support the Sales and Logistics teams.
- Ensure customer information, order records, and operational data are maintained accurately and confidentially.
- Assist with purchasing office and warehouse supplies as required.
- Maintain organised filing systems, both electronic and paper-based, ensuring documentation is readily accessible and compliant with company procedures.
- Work collaboratively with internal departments to ensure the smooth flow of information and efficient order fulfilment.
- Comply with company policies, procedures, and Health & Safety requirements.
- Undertake any other administrative duties appropriate to the role as required by management.
Person Specification
Essential Skills and Experience
- Previous experience in an office administration, logistics administration, or sales administration role.
- Excellent organisational and time management skills with the ability to prioritise workloads effectively.
- Strong attention to detail and a high level of accuracy in data entry and documentation.
- Excellent verbal and written communication skills.
- Professional and customer-focused approach with strong interpersonal skills.
- Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to work independently as well as part of a team.
- Strong problem-solving skills and the ability to work under pressure in a fast-paced environment.
Desirable Skills
- Experience using ERP, CRM, or order processing systems.
- Knowledge of logistics, transport, warehouse, or supply chain operations.
- Experience of inventory or stock management systems.
- Business Administration qualification or equivalent.
Qualifications
- GCSEs (or equivalent), including English and Mathematics.
- Relevant administration or business qualifications are desirable but not essential.

Pay: £26,000.00-£30,000.00 per year
