Job Summary
We are seeking a professional and organised Receptionist/Administrator to join our team. This role involves managing front-desk responsibilities, supporting administrative tasks, and ensuring smooth office operations. The ideal candidate will possess excellent communication skills, be highly efficient, and comfortable working with various computer programmes. Duties
- Welcome visitors and clients in a courteous and professional manner
- Answer phone calls promptly, using proper phone etiquette, and direct enquiries appropriately
- Manage incoming and outgoing correspondence, including emails and postal mail
- Maintain appointment schedules and organise meetings using calendar software
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Handle administrative paperwork such as filing, photocopying, and scanning documents
- Support the team with general administrative duties to ensure efficient office operations
- Assist with invoicing, billing, and basic bookkeeping activities as required
- Ensure the reception area remains tidy and welcoming at all times
Experience
- Proven office experience or administrative background is preferred
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar accounting software is advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and data entry accuracy are essential
- Demonstrable experience in clerical roles involving phone etiquette and customer service
- Familiarity with office equipment such as printers, scanners, and telephony systems is desirable
