To provide a comprehensive and confidential administration support for the Rheumatology Day Unit in accordance with departmental and Trust guidelines, policies and procedures. To act as first point of contact for service users, including front of house reception. As required, to act as a source of advice and guidance regarding the specialty. You will need to have excellent administrative skills and be able to organise busy appointment schedules and diaries. Accuracy and attention to detail with the ability to remain calm under pressure is essential. The day-to-day duties will include handling telephone calls, emails, TCIs, upkeep of the specialist databases, dealing with patient queries with tact and sensitivity, updating patient records, dealing with confidential information and typing letters.

Assist in welcoming, receiving and greeting patients and visitors to the area, providing the first point of direct contact for all service users, resolving routine enquiries professionally in accordance with local standards and procedures, and referring other queries to relevant colleagues where appropriate.
To assist with the implementation and maintenance of an efficient office management system/procedures to enable the Rheumatology Day Unit to optimise its patient care services.
- This will require: Effective time management; collation and preparation of data for TCI and appointment planning; establishing and maintaining efficient manual and electronic correspondence and documentation management systems; ensuring effective and timely communications with all relevant personnel; experience with invoice/requisition process and Integra/GHX system
To ensure, wherever possible, that all documentation is up-to-date, in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where necessary.
- This will require: Effective collaboration with all relevant personnel to maintain an efficient administrative system; building good working relationships with appropriate internal and external Departments, reporting related issues to the Department Manager and distribution of appropriate correspondence.

Demonstration of excellent communication skills when dealing with patients, relatives and members of the multidisciplinary team utilising sensitivity and empathy.
