About the Role
We are looking for an organised, proactive and commercially minded Wholesale and Purchasing Coordinator to join our office-based team within the dermal filler and aesthetics industry.
The successful candidate will provide essential administrative, accounts and operational support to our sales representatives and purchasing department, helping ensure customer wholesale orders, purchasing and shipping are managed efficiently and accurately.
This is a varied role suited to someone who enjoys working in a fast-paced environment, has excellent attention to detail and is confident communicating with customers, suppliers and sales teams.
Key Responsibilities
- Support the sales team with detailed quotations, order updates and general administration.
- Manage invoices, credit notes and account documentation.
- Maintain accurate customer and sales records.
- Assist with customer account queries, payments and outstanding balances.
- Liaise with sales representatives to ensure orders and customer requirements are followed through.
- Liaise with accounts to manage incoming customer funds and outgoing supplier payments.
- Liaise with suppliers regarding pricing, availability, remittances and delivery schedules.
- Place and manage purchase orders with suppliers.
- Monitor stock levels and identify purchasing requirements.
- Coordinate incoming stock deliveries and maintain accurate stock records.
- Assist with forecasting and planning stock requirements based on sales demand.
- Investigate purchasing discrepancies and resolve supplier queries.
- Arrange and coordinate incoming and outbound domestic and international shipments.
- Prepare shipping documentation and ensure orders are dispatched correctly.
- Liaise with couriers, freight companies and suppliers regarding deliveries.
- Track shipments and provide updates to sales representatives and customers.
- Resolve delivery issues, delays, shortages and damaged goods.
- Ensure all relevant documentation is completed accurately and on time.
- Maintain organised and accurate records including daily data entry of stock batch numbers.
- Assist with product and pricing databases.
- Support the wider office team with general administrative duties.
- Handle confidential commercial information professionally.
- Help improve internal processes to make sales, purchasing and order fulfilment more efficient.
About You
The ideal candidate will have:
- Previous experience in accounts, sales administration, purchasing, logistics or a similar office-based role.
- Strong organisational and administrative skills.
- Excellent attention to detail and accuracy.
- Experience managing purchase orders and suppliers.
- Experience arranging or coordinating shipping and deliveries.
- Good numerical and financial awareness.
- Excellent communication and customer service skills.
- The ability to prioritise tasks and work to deadlines.
- Confidence using Microsoft Office, particularly Excel.
- A professional, reliable and proactive approach.
- The ability to work independently while supporting a busy sales team.
Experience within the aesthetics, medical, pharmaceutical, healthcare or dermal filler industry would be advantageous, although training can be provided for the right candidate.

Pay: £28,000.00-£32,000.00 per year
