We are looking for a highly organised and proactive Operations Administrator to support the day-to-day running of our business.
You will be responsible for coordinating engineer appointments, monitoring ongoing jobs, communicating with customers and ensuring that information is accurately recorded within our job management system.
This is a varied role that would suit someone who enjoys keeping things organised, following tasks through to completion and helping a busy team operate efficiently.
Key Responsibilities
- Scheduling engineer appointments and coordinating daily workloads.
- Monitoring ongoing jobs and helping ensure work progresses from enquiry through to completion.
- Following up outstanding appointments, materials, quotations and customer actions.
- Answering incoming telephone calls and dealing professionally with customers, suppliers and colleagues.
- Updating job records, customer details and appointment information within our job management system.
- Assisting with quotations, invoices, billing and expense records.
- Preparing documents, correspondence and job-related paperwork.
- Maintaining accurate electronic filing systems as part of our environmental commitments, we avoid the usage of paper as much as we can.
- Ensuring records are complete, organised and handled confidentially.
- Providing general administrative support to engineers and management.
- Identifying potential delays or missing information and taking action to keep work moving.

Skills and Experience
- Previous experience in an administration, office support, scheduling or coordination role.
- Good working knowledge of Microsoft Outlook, Word and Excel.
- Strong written and verbal communication skills.
- A professional and confident telephone manner.
- Accurate typing and data-entry skills.
- Ability to prioritise work in a busy environment.
- Confidence using computers and learning new software.
Experience using a job management or field-service system would be beneficial, although full training will be provided.
Experience working within an electrical, engineering, construction or service-based business would also be advantageous but is not essential.
