Job Summary
UXG is a digital signage company, primarily designing and installing solutions into retail stores, leisure/hospitality as well as corporate environvents.
Role purpose
To plan and control engineering activity so projects are delivered safely, on time, and to specification. To manage day-to-day health and safety for engineering, facilities and escalate issues to the Managing Director.
Key responsibilities
People, scheduling and administration
- Coordinate engineer schedules and maintain the engineering calendar in line with project plans.
- Liaise with the Managing Director and engineers to plan site visits, installs, and support calls.
- Authorise engineer timesheets and expenses (as per company process).
- Liaise with the Managing Director on personnel matters relating to the engineering team.
- Monitor engineer vehicle use and ensure company vehicle rules are followed.
Health, safety and facilities management
- Manage day-to-day health and safety for engineering and facilities. Complete facilities management checks to the agreed checklist and keep records up to date.
- Report health and safety issues, trends, and any significant risks to the Managing Director. Escalate immediately where there is a serious risk.
- Ensure RAMS are prepared and issued for customer site visits where required, and that safe systems of work are followed for tasks including loading/unloading, manual handling, working at height, use of equipment, and hazardous substances.
- Ensure engineers complete weekly vehicle checks, and that vans are kept clean, tidy and stocked as per the checklist, including first aid kit checks and expiry dates.
- Ensure engineer work equipment is maintained, serviced and stored securely. Coordinate ladder and safety harness checks with warehouse operatives and ensure registers and tags are updated.
Project delivery and customer coordination
- Prepare and update job quotes in liaison with the Director of Operations.
- Monitor outstanding quotes and chase purchase orders not received.
- Liaise with clients and external project managers to coordinate delivery requirements.
- Ensure engineering availability for projects, including the controlled use of subcontractors where needed.
- Maintain install and engineer visit dates and confirm resource plans with relevant internal teams.
- Ensure records are maintained for each job and that relevant install photos are taken and saved against the job.
- Reconcile site labour hours and parts against the quote and job software. Where additional works or costs arise, request additional purchase order cover in line with the client process.
Assets, screens and stock
- Maintain records of equipment installed or distributed, including screen description, supplier, serial number, customer/site, and install date.
- Record screen returns from site and coordinate warranty repair, internal repair, or WEEE disposal with the warehouse operatives
- Operate booking in/out controls for materials, including container stock management where used.
- Raise purchase orders for materials, components and consumables and submit for authorisation.
- Monitor engineer consumable stock levels and ensure regular-use items are available.
Aftersales and support
- Ensure customer support tickets are actioned within agreed timelines (if applicable).
- Provide post-install support and arrange engineer visits as required.
Health, safety, quality and IMS responsibilities
- Lead by example on safe working and quality. Stop work where conditions are unsafe or requirements are unclear.
- Ensure hazards, near misses and incidents are reported, investigated, and actions are completed and checked for effectiveness. Share learning with the team.
- Maintain accurate records that support the Integrated Management System, including FM checks, inspections, RAMS, registers, and job records (OPOC, photos, and evidence).
- Raise improvement opportunities and support audits, inspections and management reviews when requested.
- Lead the H&S policies and procedures relating to engineering work and keep up to date with legislation.
Pay: £35,000.00-£100,549.07 per year
