MEDICAL ADMINISTRATOR
RESPONSIBLE TO ADMINISTRATION SUPERVISOR / PRACTICE MANAGER
Job Purpose
To deliver a comprehensive, accurate and efficient administration service supporting the multidisciplinary team at Belfast Skin Clinic. The Medical Administrator is responsible for maintaining patient records, managing appointment systems, processing referrals and ensuring compliance with all relevant regulatory and governance standards.
Main Duties and Responsibilities
Patient Communication and Enquiries
- Handle all incoming telephone and written enquiries in a professional and timely manner
- Provide accurate information to patients regarding clinic services, appointments and pathways
- Redirect calls and correspondence to the appropriate person where required
Records and Appointment Management
- Maintain and update patient records, results and correspondence accurately on the clinical system
- Scan and upload all patient documentation to their medical records with accuracy and in a timely manner
- Book new patient consultations and manage appointment schedules for consultants and nurses
- Reschedule appointments as required, ensuring patients are kept informed
Referrals and External Liaison
- Process Red Flag referrals in strict accordance with clinic protocols and timelines
- Liaise professionally with GPs and external healthcare providers as required
- Ensure all referral and correspondence records are maintained accurately
Information Governance and Compliance
- Ensure all patient and clinic information is handled in accordance with Data Protection legislation and clinic policy
- Maintain strict confidentiality at all times; any unauthorised disclosure will be treated as a serious disciplinary matter
- Support compliance with RQIA minimum standards and Independent Healthcare Regulations (NI) 2005
- Ensure faulty or broken equipment is removed from use and management is notified without delay
- Adhere to all Health and Safety regulations, clinic policies and local rules
- Report all incidents and near misses in accordance with clinic policy and HSE requirements
General
- Provide cover and support to colleagues as required
- Participate constructively in team meetings and undertake training as directed
- Carry out any other duties reasonably requested by the management team
Essential Criteria
Qualifications
Minimum 5 GCSEs or equivalent, including Maths and English
Experience
Minimum 2 years’ recent experience in a busy medical or healthcare administration role
Skills
Strong IT proficiency; excellent written and verbal communication; accurate data entry; ability to manage own workload effectively
Personal Qualities
Well organised and methodical; excellent time management; ability to use own initiative; Ability to multitask and prioritise
Desirable Criteria
Experience in a private healthcare setting
