We are looking for an intelligent, proactive, and personable General Administrator to become the organisational backbone of our office and the first friendly face our visitors meet.
Role Overview
The General Administrator plays a central role in the smooth day to day running of the office. This is a varied and hands on position that combines front of house responsibilities, general administrative support, and office coordination. The ideal candidate is bright, resourceful, and takes genuine pride in creating a professional and welcoming atmosphere. You will support the Director and wider team, ensuring that both internal operations and the client experience run seamlessly.
This role would suit someone who is highly organised, has a warm and professional manner, and enjoys being the person who keeps everything running behind the scenes. Knowledge of accountancy or property matters is a distinct advantage and will open up opportunities for growth within the firm.
Key Responsibilities
Front of House and Guest Experience
- Welcome all guests, clients, and visitors warmly and professionally, ensuring they feel comfortable from the moment they arrive.
- Prepare and serve tea, coffee, and refreshments for the Director, guests, and clients to a high standard.
- Maintain a tidy, presentable, and welcoming reception and meeting room area at all times.
- Answer incoming telephone calls promptly and courteously, taking accurate messages and directing enquiries appropriately.
- Manage the company diary, set up rooms ahead of appointments, and clear them afterwards.
General Administration
- Provide comprehensive administrative support to the Director and wider team.
- Sort, allocate, and distribute incoming post accurately and promptly to the correct individuals or departments.
- Prepare and organise outgoing post, including franking, recorded delivery, and courier arrangements.
- Manage filing systems, both physical and digital, ensuring records are accurate, up to date, and easy to retrieve.
- Draft, format, and proofread correspondence, documents, and reports to a professional standard.
- Maintain office supplies, monitor stock levels, and place orders as required.
- Handle scanning, photocopying, and document management tasks.
- Support diary management, appointment scheduling, and coordination of meetings.
Office Coordination
- Act as a central point of contact for general office queries.
- Liaise with suppliers, service providers, and contractors as needed.
- Ensure the office environment remains clean, safe, organised, and professional.
- Assist with ad hoc projects and tasks as directed by the Director.
Value Adding Duties (Desirable)
- Provide basic support on accountancy related administrative tasks, such as preparing documents, organising client files, and assisting with data entry.
- Assist with property related administration where relevant, such as managing documentation, correspondence, and records.
Person Specification
Essential
- Bright, intelligent, and quick to learn, with strong problem solving instincts.
- Warm, professional, and confident manner when dealing with clients and guests.
- Excellent organisational skills with the ability to prioritise and manage multiple tasks.
- Strong written and verbal communication skills.
- High level of accuracy and meticulous attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Reliable, discreet, and able to handle confidential information with integrity.
- Proactive, self motivated, and able to work with minimal supervision.
- A genuine willingness to help and a positive, can do attitude.
Desirable
- Knowledge or experience in accountancy, bookkeeping, or a professional services environment.
- Knowledge or experience in property, lettings, or estate administration.
- Previous experience in a front of house, receptionist, or office administration role.
- Familiarity with office systems and general workplace software.
