Job Overview
We are seeking a dynamic and organized Office and Clinic Administrator to join our healthcare team. This vital role ensures the smooth operation of both administrative functions and clinic activities, providing exceptional support to staff, patients, and visitors alike. The working schedule would Saturdays 8.30am-4.30pm, Sundays 9.00am- 6.00pm, Mondays 12.00pm - 8.00pm, Tuesdays 12.00pm- 8.00pm and Wednesdays 12.00pm - 8.00pm.
Responsibilities
- Manage daily office operations, including scheduling appointments, maintaining patient records, and overseeing administrative workflows
- Greet patients and visitors warmly, ensuring they feel comfortable and well-informed throughout their experience
- Coordinate clinic activities by assisting healthcare providers with documentation, patient check-ins, and follow-up communications
- Handle incoming calls promptly, directing inquiries to appropriate staff or departments with professionalism and clarity
- Maintain organized filing systems for patient records, billing documents, and office supplies to ensure easy access and compliance with privacy regulations
- Support inventory management by ordering supplies, tracking usage, and ensuring the clinic remains well-stocked at all times
- Assist with billing processes, insurance verifications, and payment collections to facilitate smooth financial operations
Requirements
- Proven experience in an office environment or administrative role within a healthcare or clinical setting
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills—friendly, clear, and professional in all interactions
- Proficiency in office software such as Microsoft Office Suite (Word, Excel) and electronic health record (EHR) systems is preferred
- Ability to handle sensitive information discreetly while maintaining confidentiality in accordance with privacy laws
- A proactive attitude with the ability to anticipate needs and solve problems quickly
- High school diploma or equivalent; additional certifications in healthcare administration are a plus
