About the Role
Dr McQuillan is seeking an organised, proactive Medical Secretary & Marketing Assistant to support the smooth running of the medical clinic and help raise awareness of our services. This hybrid role is 70% medical administration and 30% creative marketing—perfect for someone who loves variety, thrives on responsibility, and is motivated by meaningful work.

Key Responsibilities
Medical Clinic Administration (Approx. 70%)
- Draft and send highly confidential patient clinic letters and follow-up communications.
- Manage the clinic inbox: handling patient queries on prescriptions, appointments, and billing.
- Proactively manage Dr McQuillan's schedule, booking meetings, and handling queries for external talks.
- Maintain strict compliance with Care Quality Commission (CQC) policies, auditing and keeping all clinic documents up to date.
- Manage patient questionnaires, record-keeping, and clinic supplies.
Marketing & Growth (Approx. 30%)
- Develop engaging social media marketing activity including content in Canva and post across Instagram, Facebook, and LinkedIn.
- Write monthly newsletters and assist with LinkedIn strategy.
- Identify and pursue new marketing opportunities including arranging and promoting community wellness events, corporate educational talks).
- Build and nurture partnerships with local organisations and attend occasional in-person events to expand the clinic’s reach.
- Monitor healthcare trends to keep content fresh and relevant.
Strategic Support (additional)
- Contribute ideas in business meetings to enhance clinic presence and services.
- Support HR and recruitment as we grow.
Ideal Candidate Profile
- 3+ years of experience in medical or high-level administration, ideally combined with marketing. (A degree is a bonus but not required).
- Exceptional attention to detail with proven experience handling highly confidential data or correspondence.
- Strong written, visual, and organisational skills.
- Proficient in Canva, social media, and email marketing platforms.
- Friendly, approachable, professional, and strong ethics in representing our clinic.
- A self-starter with excellent attention to detail, able to work independently, and a natural problem solver. You’ll have the freedom to take ownership of tasks while using your initiative to solve problems and bring fresh ideas to the table.
- Based within a commutable distance of Henley-on-Thames and happy to attend the clinic when needed.
Desirable Experience
- Prior experience as a Medical Secretary, Medical PA, or working within a CQC-regulated environment is highly desirable.
- Experience in PR or working with media outlets.
