- Manage the nursery’s day-to-day administrative duties, including data entry, filing, document management and maintaining accurate records using Microsoft Office and Google Workspace.
- Handle incoming telephone calls and enquiries professionally and courteously, providing accurate information or directing queries to the appropriate member of staff.
- Communicate with parents and prospective families by telephone and email, responding promptly to enquiries and providing clear, helpful information.
- Follow up with new enquiries and prospective families, arrange nursery viewings, and support the admissions and booking process.
- Create, issue and follow up on invoices, process payments, and maintain accurate financial and billing records.
- Schedule appointments, coordinate parent meetings and support the organisation of daily activities to ensure the nursery operates efficiently.
- Manage office and nursery supply levels, place orders when required, and ensure the administrative workspace remains organised, tidy and fully functional.
- Support the onboarding of new staff by preparing relevant documentation and assisting with orientation and induction processes.
- Maintain accurate and confidential records, ensuring that sensitive information is handled appropriately and in accordance with nursery policies and procedures.
- Provide general administrative support to the nursery management and wider team, assisting with a range of tasks to ensure the smooth day-to-day running of the nursery.
- Work proactively and collaboratively with colleagues, responding to operational needs and assisting with additional duties when required.
- Occasional evening or weekend work from home may be available as overtime, depending on the needs of the nursery.
Skills
- Proven experience working in an office environment with strong organizational capabilities.
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar).
- Excellent phone etiquette with the ability to communicate clearly and professionally.
- Strong typing skills for efficient data entry and record keeping.
- Previous administrative or clerical experience demonstrating attention to detail.
- Familiarity with data management systems and office software to streamline daily tasks.
- Ability to multitask effectively in a fast-paced environment while maintaining accuracy.
