Job Purpose
We are looking for a highly organised, proactive, and commercially aware Personal Assistant to support the Area Manager in overseeing the successful operation of multiple bars (including new bar opening). This role is ideal for someone who thrives in a fast-paced hospitality environment and can effectively balance administration, communication, and operational support.
The successful candidate will ensure priorities are managed efficiently whilst supporting venue managers to maintain high operational standards. You will also be supporting the Area Manager with opening new venues (from supporting with recruitment admin to contacting suppliers to support with the admin of opening the new bars)
Key Responsibilities
Administrative Support
- Manage the Area Manager's diary and appointments.
- Prioritise emails and correspondence.
- Organise meetings for Area Manager with their bar management team.
- Keep a record and chase any outstanding actions from the bars aswell as partners.
- Filing and ensuring invoices are secure and available for the accountant.
- Support with payroll- ensuring that data for new employee’s is entered onto the Brightpay system.
- Monitor compliance paperwork across venues and ensure dates are recorded and actions are tracked.
- Recruitment for existing and new bars- organise the business indeed account, responding to messages, blind sifting candidates for the Area Manager to interview.
- Maintain confidential business records and documentation.
- Assist the Area Manager with project management for new initiatives, refurbishments, and business improvements.
- Support Bar General Managers with admin support for events and promotions across sites where needed.
- Work with Area Manager to ensure health & safety, licensing, food hygiene, and HR documentation is completed on time.
- Liaise with suppliers to support with new bar openings.
Skills & Experience
Essential
- Previous experience as a PA, Executive Assistant, or Senior Administrator.
- Excellent organisational and time management skills.
- Strong Microsoft Office skills (Excel, Outlook, Word, PowerPoint).
- Excellent written and verbal communication.
- Ability to prioritise multiple tasks independently.
- Professional, discreet, and highly dependable.
- Confidence to make phone calls on behalf of the business.
Desirable
- Experience working with hospitality systems.
- Knowledge of licensing and compliance within the hospitality industry.
