TLMC Ltd is a Residential Property Management firm in the Super Prime & Prime markets in Central London & Surrey with in-house Housekeeping, Specialist Cleaning, Maintenance & Project Management teams. This role is in our Property Management department as a client facing Property Manager however there would be opportunities to learn about the other areas of the business.
Our teams offer our clients bespoke property management services to look after all aspects of private Home Management such as proactive maintenance, reactive maintenance, lifestyle services, project management, direct staff employment etc. and we see ourselves as our client's 'boots on the ground' for their London Homes. Candidates should have:
- Previous property management experience (min. 4 years).
- ARLA qualification or equivalent preferable.
- Project management experience preferable.

Role and Responsibilities
Specific responsibilities
- Primary responsibility for account and client relationship management for assigned key UHNW clients
- Management of reactive maintenance requirements for private clients
- Composition and implementation of a schedule of planned preventative maintenance service requirements for private clients
- Responsibility for compliance management or assigned key clients and reporting on the same
- Undertake detailed inspections in line with client SLA and report on the same
- Composition, implementation and periodic update of site-specific inspection reporting templates to meet client requirements
- Composition of monthly activity reports for clients in line with SLAs
- Undertake and progress property related ‘lifestyle requests on an ad hoc basis (e.g. arranging client purchases/reservations) on behalf of clients
- Supervise both remotely and on site as required maintenance works and complete reporting processes
- Organise and undertake access management as required
- Utilise company systems to schedule workflow, resources and priorities as required
- Record and report hourly charged service delivery to company systems, and support the reporting and invoicing of the same to clients
- Record necessary and associated or relevant property information/works updates onto company systems
- Assist the Accounts team in invoice approval, management of client fund accounts, and with credit control as required
- Advise and provide recommendations for mitigation of costs to the clients and answering related queries
- Undertake tenders for works and service contracts as required
- Support internal and external company communication, including answering incoming property management phone calls
- Support the new business team and directors in identifying opportunities for additional company revenue to existing clients, and opportunities to engage new property management clients

- Support the Property Management Team and Directors in the undertaking of their duties as required
- Manage tenant communications, addressing inquiries and resolving issues promptly
- Maintain accurate records of property management activities, including data entry and administrative tasks.
- Ensure all properties are compliant with current legislation as well as accurate record-keeping
- Liaising with lettings agents for letting of properties
- Ensuring correct notices are served for AST Residential
- Dealing with checkouts and deposit releases
- Negotiating Renewals & drawing up documentation for AST’s
