Role Overview - PART TIME
We are seeking an experienced, organised, and professional Private Medical Secretary to provide high-quality administrative and secretarial support to a private consultant/medical practice. The successful candidate will act as a key point of contact for patients, consultants, hospitals, insurers, and other healthcare professionals, ensuring the smooth and efficient coordination of patient care.
Key Responsibilities
- Manage the consultant’s diary, appointments, clinics, and theatre lists.
- Coordinate patient appointments, consultations, investigations, procedures, and follow-up care.
- Act as the first point of contact for patients by telephone, email, and written correspondence.
- Provide a professional, compassionate, and confidential service to patients and their families.
- Prepare, format, and proofread medical correspondence, clinical letters, reports, referrals, and other documentation.
- Liaise with GPs, consultants, hospitals, clinics, laboratories, insurers, and other healthcare providers.
- Process referrals and ensure relevant medical information and documentation are available for appointments.
- Communicate with private medical insurers regarding authorisations, claims, treatment codes, and patient eligibility.
- Prepare and submit invoices and assist with monitoring outstanding payments where required.
- Maintain accurate and up-to-date patient records in accordance with GDPR and confidentiality requirements.
- Handle sensitive medical information with discretion and maintain strict patient confidentiality at all times.
- Manage incoming and outgoing correspondence, emails, telephone calls, and general administrative enquiries.
- Ensure patients are kept informed of appointments, results, procedures, and any changes to arrangements.
- Support the consultant with general administrative duties and the efficient running of their private practice.
- Prioritise workload effectively and respond promptly to urgent or time-sensitive requests.
- Maintain professional relationships with patients, colleagues, consultants, and external organisations.
Essential Skills and Experience
- Previous experience within a medical secretarial, healthcare administration, or private practice environment.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Excellent telephone manner and patient/customer service skills.
- Ability to handle confidential and sensitive information appropriately.
- Good knowledge of Microsoft Office, email, and administrative systems.
- Ability to work independently, use initiative, and manage competing priorities.
- Professional, approachable, and empathetic manner.
- Ability to remain calm and organised in a busy clinical environment.
Desirable
- Experience working within a private hospital, consultant practice, or independent healthcare setting.
- Knowledge of private medical insurance processes and authorisation procedures.
- Familiarity with medical terminology and clinical correspondence.
- Experience with electronic patient record and practice-management systems.
