About the Role
We are looking for a friendly, organised and reliable Receptionist to join our busy practice in Glasgow.
Parkhead Cross Orthodontics & Facial Aesthetics provides specialist orthodontic and medical aesthetics services, and our reception team plays an important role in creating a professional, welcoming and supportive experience for every patient who visits us.
This is a varied reception and administrative role, with responsibilities across both our orthodontic and facial aesthetics services. The successful candidate will be confident communicating with patients, clinicians and colleagues, while being highly organised and comfortable managing multiple administrative processes.
A key aspect of the role will be managing orthodontic referral and prior approval paperwork, alongside general reception duties, appointment management and patient enquiries across the practice.
We are looking for someone who takes pride in providing excellent patient care, has strong attention to detail and enjoys working as part of a busy, collaborative team.
Key Responsibilities
Reception & Patient Care
- Welcoming patients and providing a friendly, professional reception service.
- Creating a warm and reassuring experience for patients attending for orthodontic and facial aesthetics appointments.
- Answering telephone calls and responding to patient enquiries.
- Communicating professionally and sensitively with patients, clinicians and colleagues.
- Booking, cancelling and rearranging appointments.
- Managing enquiries relating to both orthodontic and facial aesthetics services.
- Supporting the smooth day-to-day running of the practice and reception area.
Orthodontic Administration & Prior Approvals
- Preparing, sending and processing orthodontic prior approval forms.
- Ensuring forms are completed accurately and contain all required information.
- Maintaining accurate records of forms that have been submitted, returned for further information or approved.
- Monitoring outstanding forms and following up where necessary.
- Requesting and providing additional information required to progress approvals.
- Liaising with clinicians and colleagues to ensure applications are progressed efficiently.
- Keeping patient records and administrative information accurate and up to date.
General Practice Administration
- Maintaining accurate and confidential patient records.
- Carrying out general administrative and reception duties.
- Managing multiple tasks and deadlines within a busy clinical environment.
- Supporting clinicians and the wider practice team with administrative requirements.
- Ensuring patients receive clear and professional communication throughout their journey.
- Contributing to the efficient and organised running of the practice.
Essential Skills & Experience
The successful candidate will have:
- Previous experience in a dental, orthodontic, medical, healthcare or reception environment.
- Excellent communication and interpersonal skills.
- Confidence communicating with patients and healthcare professionals.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Experience managing paperwork, deadlines and multiple administrative tasks.
- Confidence using computer systems and maintaining accurate records.
- A professional, approachable and caring manner.
- The ability to work independently and effectively as part of a team.
Desirable Experience
Experience in any of the following would be advantageous:
- Orthodontic referrals
- NHS prior approval processes
- Dental or orthodontic administration
- Working within a specialist dental or orthodontic practice
- Experience within medical aesthetics or a similar patient-focused clinical environment
Training will be provided where required for the right candidate.

We are looking for someone who is organised, dependable and patient focused, with the ability to remain calm and professional in a busy practice environment.
You will be comfortable balancing detailed administrative responsibilities with providing a warm and welcoming experience for patients.
Attention to detail is particularly important, especially when managing orthodontic prior approval paperwork, maintaining patient records and ensuring information is complete and accurate.
You should also be confident discussing appointments and general enquiries across our orthodontic and facial aesthetics services, while knowing when to refer clinical or treatment specific questions to the appropriate member of the team.
Most importantly, you will enjoy working collaboratively and understand the importance of teamwork, communication and excellent patient care.
