Overview
As part of Gallagher’s Talent Acquisition Operations team, you’ll help keep recruiting work moving across an assigned region or support area. You’ll play a key role in coordination and operational support, helping recruiters and stakeholders with accurate processes and a positive candidate experience. This role sits at the centre of day to day Talent Acquisition activity. It is about keeping work organised, timely and consistent, so candidates and internal teams get the support they need.
How you'll make an impact

Provide end‑to‑end coordination support across core Talent Acquisition processes, ensuring work is completed accurately, timely, and in accordance with established standards.

Independently manage interview scheduling, requisition documentation, internal job postings, and candidate communications for assigned requisitions.

Prepare and review coordinator‑level deliverables (e.g., requisition details, offer documentation, scheduling workflows) for completeness and accuracy, escalating issues or discrepancies to team leaders/Supervisors as needed.

Follow established TA policies, procedures, and compliance requirements, and flag deviations or risks for review.

Support collaboration with offshore and cross regional resources to maintain alignment and consistent operational execution.

Respond to routine operational questions related to recruiting processes and systems, escalating non‑standard issues as appropriate.

Identify recurring issues or process inefficiencies and raise observations to TA Operations Team Leads/Supervisors.

Assist with updates to SOPs, guides, and checklists by identifying outdated or unclear content

Participate in training sessions, knowledge‑sharing activities, and process improvement efforts related to core recruiting coordination tasks

Share best practices across the TAGS team and partner groups to promote consistency and operational excellence.
About you

A bachelor’s degree.

1-3 years of experience in Talent Acquisition operations, Recruiting Backoffice Operations, or operational/administrative roles.

Advanced English level, both written and spoken. Excellent verbal and written communication skills.

Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.

Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and Teams.

Strong attention to detail and commitment to data accuracy.

Ability to handle confidential and sensitive information professionally.

Strong customer service orientation and ability to work effectively with candidates, recruiters, hiring managers, and business leaders.

Demonstrated ability to manage multiple priorities across a high-volume workload while consistently meeting deadlines and service level expectations.

Preferred experience reviewing requisition details, scheduling candidate records, offer documentation, and scheduling workflows to ensure accuracy and completeness.

Experience supporting recruitment activities within a multinational, shared services, or corporate environment is preferred (interview scheduling, requisition tracking and candidate communications).
