The Role
We are seeking a highly organised and experienced HR Administrator to oversee day-to-day HR administration across the business. This is a key role with responsibility for recruitment, vetting, training administration, HR policies, benefits and the full employee lifecycle, using BrightHR, TimeGate, BigChange and Xero to maintain accurate and compliant records.
You will work closely with Directors and Department Managers to ensure all HR processes run smoothly and that people information is reliable, up to date and audit-ready.
Key Responsibilities
· Manage end-to-end recruitment administration for administration staff, security inspectors, dog handlers, engineers and other roles.
· Prepare and issue offer letters and contracts, and coordinate onboarding and induction for all new starters.
· Administer pre-employment vetting in line with security and client requirements, including right-to-work checks, references, SIA licences and other role-specific checks.
· Maintain BrightHR with accurate employee information, including contracts, licences, onboarding, induction and training records; ensure completion of onboarding training and inductions is recorded.
· Keep TimeGate and BigChange up to date with relevant workforce information to support scheduling and operations.
· Coordinate training, maintain the training portal and records, support training-needs analysis, and track completion across all staff groups.
· Prepare appraisal documentation for Department Managers, manage the appraisal timetable, take notes where required and file completed reviews.
· Provide confidential administrative support for disciplinary and grievance processes, including arranging meetings and taking clear, factual notes.
· Manage the company’s private medical insurance scheme, including enrolments, leavers, record-keeping and support for annual policy reviews.
· Prepare accurate monthly HR and workforce data for payroll and provide it to Xero by agreed deadlines.
· Produce regular HR and workforce reports for Directors, including headcount, absence, training completion and vetting status.
· Maintain accurate, secure and confidential employee records in accordance with company procedures and data-protection requirements.
About You
· Proven experience as an HR Administrator or in a similar HR role, ideally within a fast-paced, multi-site or security-related environment.
· Strong background in recruitment administration and employee onboarding.
· Confident user of Microsoft Office, including Word, Excel and Outlook, and HR or operational systems.
· Experience using BrightHR, TimeGate, BigChange and/or Xero, or comparable systems, is highly desirable.
· An understanding of pre-employment screening, right-to-work checks and role-specific compliance requirements is desirable.

Pay: £28,000.00-£32,000.00 per year
