Visitor Information Centre Assistant
The Visitor Information Centre Assistant supports high-quality visitor services, tourism promotion, and community engagement across Warwick. Working closely with the Visitor Information Centre Supervisor and a small team of Visitor Information Centre Assistants, volunteers, and seasonal Town Ambassadors, the postholder will ensure the efficient day-to-day operation of Warwick Visitor Information Centre, providing a welcoming and professional service to residents and visitors.
The role is primarily based within the Visitor Information Centre (28 hours per week) and includes visitor services, tourism support, customer engagement, digital promotion, reconciliation of sales and income records, and the preparation of monthly financial and stock reports to support operational and budget monitoring.
In addition, the postholder will provide administrative and event support to the Town Centre Manager (4 hours per week), assisting with the coordination and delivery of town centre initiatives, projects, and events, and supporting staff, volunteers, and summer ambassadors in the absence of the Supervisor.
The role includes occasional evening and weekend working and requires strong communication, organisational, administrative, numeracy, customer service, and digital skills, with the ability to work flexibly and collaboratively in a busy operational environment.
Main Duties and Responsibilities: Visitor Information Centre
- Develop and deliver promotional initiatives to enhance the profile, visibility, and reputation of the Visitor Information Centre and wider tourism offering.
- Build and maintain effective relationships with local businesses, tourism partners, and attractions to support collaborative opportunities and visitor engagement.
- Conduct research and site visits to local attractions and events to maintain a strong understanding of the regional tourism landscape and visitor experience.
- Monitor and stay informed on emerging tourism trends, seasonal activities, and local events to ensure information provided to visitors remains accurate and relevant.
- Reconcile sales and income records, maintain accurate financial data systems, and prepare monthly financial reports to support operational and budget monitoring.
- Assist in the production, coordination, and distribution of visitor information materials, including leaflets, guides, and promotional content.
- Ensure the Visitor Centre is maintained to a high professional standard, providing a welcoming, accessible, and user-friendly environment for visitors.
- Deliver exceptional customer service by responding professionally to enquiries from members of the public, stakeholders, and tourism partners across multiple communication channels.
- Support the development and promotion of the commercial and community use of the Court House, encouraging greater public participation and engagement.
- Act as deputy to the Visitor Information Centre Supervisor when required.
- Represent the organisation at meetings, tourism forums, and partnership events in the absence of the Supervisor, liaising confidently with tourism businesses and external stakeholders.
- Maintain and update the Visit Warwick website, ensuring content is accurate, engaging, and reflective of current tourism activity and events.
- Assist in the coordination and management of Visit Warwick social media platforms, supporting audience growth, engagement, and promotional campaigns.
- Provide flexible support across a range of operational, promotional, and administrative activities in line with the needs of the service.
Main Duties and Responsibilities: Admin and Event Support to the Town Centre Manager
- Maintain and update event plans, project trackers, contact lists, and calendars to keep activities organised and running smoothly.
- Help monitor event budgets, update spending records, and process invoices in line with council procedures.
- Prepare and proofread clear and professional communications, reports, event briefs, and promotional materials.
- Support the coordination of event requirements, including licences, permissions, risk assessments, and road closures where needed.
- Assist with the delivery of smaller projects and initiatives, ensuring tasks are completed on time and within budget.
- Collect and organise town centre performance information such as visitor numbers, business activity, and social media engagement for reporting purposes.
- Manage attendee registrations, expressions of interest, and distribution of event materials.
- Support the promotion and marketing of events, town centre activities, and business engagement programmes.
- Help coordinate event equipment, infrastructure, and on-site logistics to ensure events run efficiently.
- Act as a key point of contact for suppliers, contractors, partner organisations, and stakeholders involved in town centre projects.
- Assist with maintaining consistent branding and communications across promotional and information materials.
- Resolve logistical issues and provide practical support to ensure projects and events are delivered successfully.
- Support post-event reviews by helping gather feedback, identify improvements, and record key outcomes for future projects.
Pay: £15.06 per hour
