The Role
As we continue to deliver exceptional live, virtual and hybrid event experiences for our clients, we are looking for an additional Project Manager to join our Events Project Management Team. The role will have a specific focus on supporting a range of complex client projects for one of our global key client accounts from inception to delivery.
The Project Manager role is an exciting, demanding and varied role which will provide day to day project management support to the Account Director and wider project management team where appropriate. You will have demonstrable project management skills gained from previously supporting corporate global client accounts with their events and experiences. You will also possess excellent client facing and stakeholder management skills, knowledge of monitoring budgets, project milestones and assets. The role holder requires high attention to detail skills, must be a confident communicator with first class organisational ability and must be comfortable working both autonomously and collaboratively possessing a ‘can do’ attitude.
There will be the need to attend client meetings and support with the flow of information by undertaking progress meeting notes to update internal departments of the project actions/status. The role holder will also need to communicate with third party suppliers and venues.
You will ideally have some experience of supporting with the interpretation of client’s briefs utilising all internal resources to deliver innovative ideas and solutions which address our client’s objectives. An awareness of working with client brand guidelines, internal policies and codes of conduct are also desirable ideally within the pharmaceutical/medical industries. There will be a need to support projects on site at various locations within the UK and overseas so a flexible approach to working hours and working some weekends will be required as part of the role.
Key Duties
- Interpretation of client briefs from inception to delivery for event solutions by identifying and securing resources across the internal teams to provide creative deliverable solutions
- Alert the Account Lead to any irregularities, lack of adherence, and /or issues that could result in detrimental implications within a project
- Provide end to end project management service for projects ensuring milestones are identified, met, communicated and delivered to realistic timelines
- Delivering projects on time, within budget and scope that meet and exceed expectations
- Creation and management of all relevant documentation in line with our own internal project management processes
- Provide support to financial tracking, reporting and reconciliation of the projects within the agreed margins
- Source and liaise with suppliers, contractors pre-during and post event
- Maintain knowledge of clients’ brand guidelines, internal policies, and external codes of conduct
- Develop excellent client relationships and support the Account Lead to maintain and grow client accounts through your own client relationships and excellent delivery. On occasion you may be required to act as the Account Lead or Project Lead depending on the client and situation
- Support the Account Director in the day to day running of the account, ensuring smooth operations and effective communication
- Support the Account Director with tender/pitch/presentation process – supporting the creative concept generation, proposal generation and delivery of the proposal to the client as well as any follow up
- Liaise with venues and other agencies to ensure a smooth and collaborative working relationship with all stakeholders
- Attendance onsite (including weekends) at venues to support the Account Director/Project Lead with anything that is required to help deliver the project such as artist liaison, stage management, runner, venue support/liaison looking after crew welfare
- Organise and attend debriefs to facilitate feedback for the team.
The person
- Minimum of 5 years project management experience supporting global corporate clients in an event setting ideally within an agency environment
- Proven track record in client relationship management
- Experience of providing project support for live, hybrid, virtual event projects and exhibitions in a corporate environment for at least 5 years
- A good understanding of technical and event solutions within the industry
- Highly organised with exceptional attention to detail skills
- Strong and confident communication and presentation skills
- Positive and professional approach with a ‘can do’ attitude
- Comfortable working to deadlines and on managing multiple projects in a fast paced environment.
- Numerate and experienced with tracking budgets, preparing spreadsheets and costings
- Excellent MS office skills including Excel, MS Teams and PowerPoint
- Professional and personable individual who can remain calm under pressure
- A flexible approach and the ability to react to change as it happens
- Professional or degree level qualification in event management or similar discipline is desirable
- Flexibility to attend other locations to deliver projects on site within the UK and overseas when required. Some weekend working
- Driving Licence
Travel will form part of this role when there is a need to support projects on site at venues. You will need to be independently mobile with a full driving licence. Flexibility with working hours is also desirable as there will be occasions when projects may be delivered during evenings/weekend at venues and depending on client project time zones.
This role is not a remote role and candidates will be expected to work from the Norwich office or on-site at different locations when supporting project delivery.
