We are expert Podiatrists who help active people in pain to resolve their foot and ankle problems. We provide them with a treatment programme to aid their rehabilitation back to an active, fulfilled lifestyle.
Job Overview
We are looking for someone to provide a warm, professional welcome to patients and ensure the smooth running of reception in a busy podiatry practice.
This role requires a balance of professionalism and friendliness, ensuring a positive experience for all our patients. You will be able to work calmly under pressure, excellent at multitasking, great attention to detail, confident with different computer platforms and proactive.
We are a friendly team who not only work hard together, but also enjoy having fun and socialising outside of the clinic.
This is a part time role working 12 hours a week with an expectation to attend monthly team and administration meetings which may be outside your normal hours of work. You will also be required to work 9.30am - 2:30pm Saturdays on a rota basis (approx. 1 every 6-8 weeks). See detailed hours below:
Tuesday 8-1
Thursday 8-3
One Saturday per 6-8 weeks 9:30-2:30
Responsibilities:
- Greet patients and visitors to the practice.
- Book in, amend and cancel patient appointments in accordance with practice appointments procedures ensuring optimum efficiency of the appointment system (Cliniko).
- Ensure that patients without appointments but who need 'urgent consultations’ are booked into appropriate slots
- Respond and/or redirect all patient and visitor requests accordingly.
- Sterilise podiatry instruments. Training will be provided in this.
- Advise patients of relevant charges for appointment types, accept payments and issue receipts & invoices
- Ensure correspondence, reports, results etc. are filed electronically in the correct patient record.
- Ensure reception and waiting areas are kept neat and tidy and welcoming to patients.
- Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
- Check emails respond as appropriate or forward to relevant team members.
- Become familiar with the different appointment types offered by the Podiatrists and be able to advise patients or refer on to Podiatrists for further advice if required.
- Work safely at all times in accordance with legislative requirements and Practice Policy and Procedures.
- Reconcile payments at the end of the day
The post-holder is required to use her/his own initiative when dealing with problems and to make any reasonable and necessary decisions on events as they occur, including:
- Establishing and maintaining effective lines of communication with the podiatrists.
- Communicating clearly and effectively with staff to aid the smooth running of the Practice.
- Responding to requests or queries for support as they arise.
- Prioritising workload and requests for support.
- Making the most effective use of resources available.
- Using judgement and experience in helping to determine the relevant urgency of requests for information received from patients and other external organisations.
Skills:
- Strong organisational skills to manage appointment schedules and office tasks efficiently
- Excellent phone etiquette to communicate effectively with patients and colleagues
- Proficiency in computerised systems for data entry and record keeping
- Ability to type accurately and quickly for documentation purposes
- Knowledge of office procedures and basic clerical duties
- Familiarity with Google Suite and Microsoft 365.
- Familiarity with clinic procedures and equipment.
- Clear understanding of the importance of maintaining patient and data confidentiality.
- Prior experience in an administrative role is a plus
