We're looking for an Office Administrator - Sales & Project Support, to join our dynamic team and be the heartbeat of our daily operations! This role is perfect for someone who thrives in a fast-paced environment, loves organising, and enjoys supporting a busy office.
Providing administrative and coordination support across the sales and project lifecycle, you will help opportunities progress from initial enquiry and site information through to quotation, order processing, project setup and commercial review.
Key responsibilities include:
- Maintain sales programmes and trackers, monitor enquiries, quotations and order deadlines
- Coordinate the receipt, review, issue and storage of site plans, drawings and related information
- Prepare quotation templates
- Create accurate project records and raise quotations linked to correct customer and projects in Sage
- Maintain quotations, drawings, technical documents, order and project information on customer portals
- Reviewing customer orders against approved quotations, resolving discrepancies and raising sales orders in Sage with correct details
- Maintaining project status updates within Sage
- Undertaking project analysis and margin reviews
- Providing updates on open quotations, orders, projects status, actions and margins.
Requirements
- Proven experience in an office setting with strong administrative skills
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Sage
- Confident working with figures and data (quotation values, costs and basic project margin information)
- Excellent written and verbal communication skills
- Strong organisational skills with keen attention to detail and the ability to prioritise tasks effectively
- Ability to adapt quickly to changing priorities while maintaining a positive attitude
- Experience of working with customer portals, document control, site plans or technical drawings would be beneficial
