PURPOSE OF ROLE:
Supporting the Head of Technical Support with the effective functioning of the Build Insight team. Balancing a high workload with ad hoc requests whilst mitigating risks to the overall day-to-day duties of both the Administration Team, Surveyors, and wider teams. Keeping clear communication lines throughout, building positive relationships with stakeholders and assisting with the overall company aims and objectives.
KEY RESPONSIBILITIES:
Duties of the post include, but are not limited to:
- Provide reliable and consistent support to the Head of Technical Support as and when required.
- Process applications and initial notice applications onto company database and Xero.
- Provide relevant training and development to new employees within the team including distribution of their work.
- Carry out formal and informal appraising and mentoring of team members on a day-to-day basis.
- Support members of the team in navigating complex/difficult applications, queries, or phone calls.
- Available to book inspections, make payments and assist with general enquiries in respect of Building Control matters.
- Provide first point of call advice on Building regulation issues aiming to resolve the enquiry without the need to escalate to Head of Technical Support.
- Assist surveying staff operationally, ensuring they have access to required resources such as software, inspections tools & documentation
- Full understanding of all application types and services offered within Build Insight.
- Good all-round knowledge of Building Control Legislation Including: The Building Act 1984, The Building Regulations 2010, and The Building (Registered Building Control Approvers.) Regulations 2024.
- Provide fee quotations as needed.
- Ensure that the workload of Technical Support Team members is undertaken effectively each day, raising any necessary matters with Head of Technical Support.
- Handling initial stages of Freedom of Information requests and copy documents and ensuring Technical Support Team are fully trained in this area.
- Action Invoices, reconcile payments and initiate debt collection (under guidance of finance team members).
- Calculate refunds, create credit notes and ensure Technical Support Team are fully trained in this area.
- Prepare statistical data relating to National Housing Statistics
- Collate and monitor KPI data provided by Business Analyst and progress where necessary.
- Undertaking any role within the Technical Support Team as and when necessary.
PERSON SPECIFICATION:
Essential Criteria
- Strong communication skills
- NVQ Level 3 Diploma in Building Control Technical Support
- Highly organised applying with a systematic and methodical approach.
- Able to provide accurate information when under pressure of time or workload.
- Knowledge of working with effective CRM systems.
- Effective communication via MS word, outlook, PowerPoint presentations and Excel.
Desirable Criteria
- Experience of influencing and motivating stakeholders
- Experience of handling complex lines of communication and developing effective initiatives to enhance them.
- Ability to oversee the wider scope of projects, deadlines, and tasks, holding individuals to account when necessary.
- Experience of working with a wide range of organisations and stakeholders.
- Understanding of the customer experience and developing processes to enhance the experience of customers.
- Experience of motivating stakeholders whilst having a calm and approachable nature.
- Proficient use of IT operating systems and the development of those systems to improve the efficiency and effectiveness of practitioners.
- Ability to utilise Bluebeam software.
- Ability and experience of reviewing plans and projects for controllable works
- Experience of working in private sector building control administration.

Pay: £32,000.00-£38,000.00 per year
