Job Purpose
To support the effective delivery, monitoring and performance of funded training provision through accurate data analysis, reporting, compliance monitoring and management information support.
The postholder will play a key role in ensuring learner, employer and funding data is accurately maintained and analysed to support operational performance, funding compliance, audit readiness and strategic decision-making across funded programmes including Adult Skills Programmes, Adult Skills Funding, Apprenticeships and other government-funded provision.
Key Responsibilities
Data Management & Reporting
- Input and maintain accurate learner and employer data across internal systems and funding platforms.
- Monitor financial transactions; reporting to the senior leadership team.
- Produce regular performance reports relating to starts, achievements, withdrawals, attendance, progression and funding performance.
- Analyse trends and identify risks, gaps and opportunities relating to funded delivery.
- Support timely and accurate Individualised Learner Record (ILR) data submissions.
- Develop dashboards, spreadsheets and reporting tools to support operational management.
- Monitor KPIs including learner retention, achievement rates, utilisation and funding performance.
Funding & Compliance Support
- Support compliance with DFE / DWP, devolved authority and funding body requirements.
- Conduct data validation checks to ensure accuracy, completeness and audit readiness.
- Assist with internal audits, PDSAT checks and funding assurance activity.
- Identify anomalies or compliance risks and escalate concerns appropriately.
- Support evidence tracking and documentation management for funding compliance.
Operational Support
- Work closely with curriculum, delivery and quality teams to ensure data accuracy.
- Provide performance insight to support curriculum planning.
- Assist managers with forecasting learner starts, income and funding profiles.
- Support contract monitoring and performance review meetings.
- Maintain confidentiality and GDPR compliance when handling learner information.
Systems & Process Improvement
- Support the development and improvement of reporting systems and data processes.
- Identify opportunities to improve efficiency, automation and reporting accuracy.
- Assist with implementation and management of MIS and CRM systems.
- Produce ad hoc reports and analysis as requested by senior leadership.
Person Specification
Essential Criteria
- Experience working with data analysis, reporting or MIS administration.
- Strong Excel and spreadsheet skills including formulas, pivot tables and data analysis.
- High attention to detail and accuracy.
- Ability to interpret data and produce meaningful management information.
- Good organisational and time management skills.
- Strong communication and stakeholder engagement skills.
- Ability to work independently and manage multiple priorities.
Desirable Criteria
- Experience within funded training, apprenticeships or further education.
- Knowledge of DFE funding rules and ILR requirements.
- Experience using MIS systems such as PICS, Maytas, OneFile or similar.
- Understanding of audit and compliance processes.
- Experience creating dashboards or using reporting software.

Qualifications
- GCSE English and Maths (Grade C/4 or above) or equivalent.
- Relevant data, business administration or analytical qualification desirable.
- Advanced Excel or data analysis qualifications advantageous.
