We are looking for an organised and proactive Administration Assistant to support the day-to-day running of our office and help ensure our engineers and customers receive outstanding support.
The Role
As our Administration Assistant, you will play a key role in keeping the business running efficiently. You will be responsible for managing office administration, coordinating engineer schedules, handling customer enquiries, maintaining accurate records, and supporting the directors with a variety of administrative tasks.
This is a varied role that would suit someone who enjoys working in a busy office environment, is highly organised, and has excellent communication skills.
Key Responsibilities
- Answer incoming telephone calls and respond to customer enquiries professionally.
- Schedule appointments and coordinate engineers' diaries.
- Raise quotations, invoices and purchase orders.
- Maintain customer records and job files.
- Liaise with customers, suppliers and contractors regarding appointments and orders.
- Order office supplies and monitor stock levels.
- Process invoices and assist with basic bookkeeping using accounting software.
- Prepare documents, reports and correspondence.
- Monitor shared inboxes and respond to emails promptly.
- Assist with health and safety administration, including maintaining training records and certifications.
- Support the directors with general administrative tasks.
- Ensure office records are accurate, organised and compliant with company procedures.

Essential Skills & Experience
- Previous experience in an administrative or office support role.
- Excellent written and verbal communication skills.
- Strong knowledge of Microsoft Office (Word, Excel and Outlook).
- Good organisational and time management skills.
- Accurate data entry and record-keeping abilities.
- Experience handling telephone enquiries and customer service.
Desirable Skills But Not Essential
- Experience within the construction, electrical or trades industry.
- Knowledge of job management software (such as Commusoft, Simpro, Fergus, ServiceM8 or similar).
- Experience using QuickBooks, Xero or Sage.
- Basic understanding of invoicing and purchase ledger processes.
