Wildheart are a family run, colleague owned property management company with our head office based in Epsom in Surrey. In August 2026 we will be 18 years old. We have grown from a team of 3 in one tiny office to a staff of 50 based across 4 offices around the UK. We predominantly operate in three sectors, Leasehold / Block Management, Rental / Tenancy Management and Insolvency.
We are recruiting for an experienced client accountant or Senior client accountant with vast experience in lettings and rental management accounts. The successful applicant will take the lead in this small team and as such will need to be organised, confident, proactive and diligent. This is a full time position based in our Head Office in Epsom.
Working alongside the client accountant you will carry out and oversee
- Downloading of bank transactions, updating of cash books and posting the income and expenditure
- Reconciling the client bank accounts on a daily basis
- Reconciling the deposit account bank account on a monthly basis to the deposits held and the deposits protected
- Checking invoices, setting up bank payments and authorising payments to suppliers and clients
- Liaising with clients regarding any financial queries
- Query resolution and liaising with the Property Managers and Clients on any accounting issues
- Provide assistance to clients at tax year end when requesting yearly statements
- Notifying and querying with utility suppliers re incoming and outgoing tenant notifications as well as for any properties that have sold ensuring that the clients are only charged for what they should be
- Updating software with rental charges for new tenancies and any changes from rental increases/decreases
- Process tenant deposit refunds ensuring all postings on the system are correct
- Process landlord payments on set times throughout the month ensuring no delays are caused from regular payments and then dealing with any queries from statements
- Raise any management fee invoices on Xero ensuring company VAT record is up to date
- Client reporting on a monthly or adhoc basis
- Process service charge deductions from landlords income to pay to service charge accounts
- Adding supplier invoices to the system and compiling approval sheets for Property Managers to approve their invoices
- Manage invoices that are on hold and insufficient funds payments
- Dealing with invoice queries from contractors
- Paying regular council tax instalments for vacant properties
- Processing reimbursements to staff members from client monies
- Processing tenant refunds
- Processing deposit protection reimbursements to the company from clients
- Provide annual leave/sickness cover for other team members in the department
- Rent guarantee management and set up for selected clients
- Processing and management of block utilities

Required Skills & Experience
- AAT qualified or equivalent
- 5 years experience within similar role / specifically within tenancy/rental management accounts
- Excellent administration, communication and organisation skills
- Strong reconciliation skills including reconciling bank to data sets
- Proactive individual with a hands on and can-do attitude
- Excellent technical skills (excel, outlook etc)
- Sound problem solving abilities – identifying discrepancies and resolving issues
- Prior use of rental management accounting software
- Knowledge of tenant deposits, utilities, council tax
- Prior use of banking software
Pay: £35,000.00-£37,000.00 per year
