We are looking for a friendly, organised Service Admin Assistant to join our small team on a part-time basis, working 30 hours over five days per week. The exact working pattern can be agreed with the successful candidate, but the hours will need to cover our core office hours and support the service team during the main part of the day.
DQM is a small, family-run business, so this is not a big corporate office environment. We work hard, but we try to keep things relaxed, supportive and practical. People know each other, help each other out and get involved where needed. Good work is noticed, and we want people to feel appreciated. We also occasionally have a dog in the office, so it helps if you are comfortable with dogs being around from time to time.
Alongside a salary of £20,000 (£26,666 FTE), we try to make DQM a good place to work in the everyday things too. What the role involves
As Service Admin Assistant, you will help with the administration that happens after our engineers have attended site. This includes processing job sheets, uploading reports and documents, supporting invoicing, keeping customer portals updated and making sure completed works do not sit unresolved.
You will be working with systems such as Dynamics 365 & customer portals. Full training will be provided, but you will need to be comfortable using computers, following processes and keeping information accurate.
- Processing completed job sheets and third party service paperwork
- Uploading job reports, certificates and supporting documents to customer portals
- Helping prepare completed visits for invoicing
- Checking purchase order information and supporting documents
- Keeping Dynamics 365 and customer portal records up to date
- Following up missing information and flagging issues early
- Acting as shared primary call taker for incoming calls
- Supporting the wider office team when needed
- Helping cover the Service Coordinator role during periods of holiday
What we are looking for
You do not need to have worked in our industry before, but you do need to be organised, accurate and comfortable following structured admin processes. Experience with service administration, invoicing, customer portals or similar admin work would be useful, but the right attitude and ability to learn are just as important to us.
