Shaftesbury Town Council is recruiting for an experienced Office Administrator to join its friendly office team.
This is a key administrative role providing support to the Town Clerk across Council and committee meetings and wider Council administration.
Responsibilities
- Preparing agendas and reports for council, committee and working group meetings
- Copying, collating, distributing and publishing meeting papers
- Responding to Councillor queries
- Drafting minutes of meetings
- Maintaining resolutions trackers and monitoring actions arising from decisions
- Recording and tracking planning applications through to the Dorset Council outcome
- Supporting council land and facility administration, including hall hire, allotments, markets, weddings, toilets and cemetery
- Maintaining policy and process records and review trackers
- Maintaining members’ records and supporting election and co-option procedures
- Providing administrative support for council projects
- Assisting with the annual report
- Providing absence cover for essential duties within the office team
- Researching relevant grant funding opportunities
- Writing and administering grant funding applications and tracking their progress and reporting requirements
- Responding to funding opportunities from government and other agencies and preparing potential bids in consultation with the Town Clerk, Councillors and relevant stakeholders
About you
Essential:
- Good general education, including numeracy and literacy
- Experience working in a similar administrative role
- Highly competent administration and minute-taking skills
- Proficiency in Microsoft Office, particularly Word and Excel
- Experience using CRMs and databases
- Excellent verbal and written communication skills
- Accurate record keeping and strong attention to detail
- Excellent IT, planning and organisational skills
- A proactive approach to work and communication
- Ability to manage multiple demands and prioritise workload
- Ability to draft correspondence and reports
- Excellent customer service skills and a professional telephone manner
- Ability to manage processes from start to finish
- A conscientious, courteous, friendly and helpful approach
- Flexibility to work occasional evenings to accommodate council meetings and events
Desirable:
- Experience working in a similar public sector environment
- Experience researching information online
- Report writing experience
- Grant funding application experience
What we offer
- Permanent contract
- Up to 37 hours per week. Standard week is Monday to Friday 8.30am to 5pm with occasional Tuesday evening work.
- FTE £29,542 per annum. £15.31 per hour

- 23 days annual leave + 2 days during the Christmas period
You will be joining a friendly office team and will play an important role in supporting the work of Shaftesbury Town Council.
