About East Coast Construction (NE) Ltd
ECC is an established civil engineering, groundworks, demolition and remediation contractor supporting multiple live construction sites across the region.
We are looking for an exceptionally organised and proactive individual to join our Health & Safety team and take day-to-day ownership of our training, onboarding and compliance administration systems.
This is not simply a data-entry position. The successful candidate will be trusted to manage several important company processes, identify missing or inconsistent information, follow matters through to completion and continually look for ways to improve how our systems operate.
The role
Working closely with the Health & Safety Director and wider H&S team, you will provide central coordination and systems support to our Site Managers, Construction Managers and other departments.
Your responsibilities will include:
- Taking full day-to-day ownership of the company training and competency database.
- Maintaining accurate records of qualifications, certificates, training dates and expiry dates.
- Identifying training and competency gaps and producing clear, regular reports for management.
- Coordinating training bookings, attendance records, certificates, reminders and follow-up actions.
- Managing the administrative elements of the new-starter process, including issuing, checking and chasing the required documentation.
- Setting up and onboarding new starters and maintaining accurate user information.
- Supporting compliance monitoring and helping managers resolve user or record issues.
- Monitoring completion and compliance within allocated areas of DashPivot.
- Identifying missing, incomplete or overdue records and following these up with the relevant Site Manager or Construction Manager.
- Supporting managers and site teams in the correct use of company systems, forms and processes.
- Preparing and maintaining site setup packs, folders, templates and controlled documentation where required.
- Updating and reissuing routine Health & Safety paperwork under the direction of the H&S team.
- Maintaining clear document control, revision histories, filing structures and audit trails.
- Reconciling information held across different systems and investigating discrepancies.
- Producing accurate reports and summaries for the Health & Safety Director and senior management.
- Highlighting overdue actions, recurring gaps and areas requiring intervention.
- Reviewing existing administrative processes and suggesting practical improvements.
- Implementing agreed process changes and helping ensure that they are consistently followed.
- Providing wider administrative and systems support to the H&S department as required.
About you
The successful candidate must be able to demonstrate:
- Previous experience in a compliance, training, health and safety, HR, operations or data-focused administrative role.
- Strong Microsoft 365 skills, particularly Excel, Word, Outlook and SharePoint or similar document-management systems.
- Confidence managing and reconciling multiple databases, spreadsheets and sources of information.
- The ability to use Excel effectively, including tables, filters, formulas, lookups and pivot tables, or equivalent data-management tools.
- Exceptional attention to detail and a commitment to maintaining accurate records.
- The ability to manage competing priorities and meet recurring deadlines without constant supervision.
- A proactive approach and the confidence to investigate missing or conflicting information.
- The confidence to follow up outstanding requirements with Site Managers, Construction Managers and other colleagues.
- Clear written and verbal communication skills.
- The ability to update formal documents while maintaining consistent formatting, version control and accuracy.
- Sound judgement when handling confidential employee and company information.
- A genuine interest in improving systems rather than simply maintaining existing processes.
Experience within construction, civil engineering or a health and safety environment would be advantageous but is not essential. Previous experience of Chime, DashPivot or similar digital workforce and compliance systems would also be beneficial; training on ECC’s specific systems and processes will be provided.
A formal health and safety qualification is not required. This is primarily a systems, training and compliance coordination role, although an interest in health and safety and a willingness to develop your understanding will be important.
What we offer
- Salary of £30,000–£35,000 depending on experience and capability.
