Job Summary
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of daily office activities, providing administrative support, and maintaining effective communication across departments. Duties
- Manage incoming calls with professional phone etiquette and direct them appropriately
- Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Assist in scheduling appointments, meetings, and events for staff members
- Prepare correspondence, reports, and presentations as required
- Support accounts payable and receivable processes, including invoice processing and expense tracking
- Maintain office supplies inventory and place orders when necessary
- Support general administrative tasks such as photocopying, scanning, and mailing documents
- Collaborate with team members to improve office procedures and workflows
Skills
- Proven office experience with strong organisational skills
- Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks
- Excellent administrative experience with a focus on data entry and clerical duties
- Strong phone etiquette with the ability to communicate professionally with clients and colleagues
- Fast typing skills with high accuracy levels
- Ability to multitask efficiently in a fast-paced environment
- Good understanding of organisational procedures and time management techniques
- Attention to detail in document preparation and data handling
