Nuu Home Group Operations & Administration Assistant (Remote)

Following the successful opening of Zion House in Dover and our continued expansion with Zoe House in Canterbury, we are looking for an organised and proactive Operations & Administration Assistant to support the management team and help ensure the business operates efficiently behind the scenes.
This is a flexible, remote role with the opportunity for additional hours and career progression as Nuu Home Group continues to grow.
The Role
The Operations & Administration Assistant will provide administrative and compliance support to the Director, Registered Manager and wider management team.
You will help ensure the organisation remains compliant, organised and inspection-ready by managing documentation, supporting recruitment, maintaining staff records and ensuring key administrative tasks are completed accurately and on time.
This role is ideal for someone who enjoys organisation, attention to detail and working independently whilst making a meaningful contribution to a growing organisation.
Key Responsibilities:
General Administration
- Monitor and manage the company email inbox.
- Answer and respond to administrative enquiries.
- Organise electronic filing systems and company documents.
- Prepare letters, forms and general correspondence.
- Schedule meetings, interviews and appointments.
- Take meeting minutes where required.
Weekly Reports & Young People's Records
- Download weekly logs from the recording system.
- Prepare weekly reports for each young person.
- Produce concise weekly summaries from downloaded weekly logs
- Send draft reports to the Deputy Manager or Registered Manager for review and approval.
- Once approved, distribute weekly reports to Social Workers
- Maintain accurate records confirming reports have been sent.
- Ensure young people's files remain organised and up to date.
Compliance & Quality Assurance
- Maintain staff personnel files.
- Monitor DBS renewal dates.
- Monitor mandatory training compliance.
- Maintain compliance trackers.
- Ensure Right to Work documentation remains current.
- Prepare documentation for Ofsted inspections.
- Organise policies, procedures and quality assurance documents.
- Monitor action plans and remind managers of outstanding tasks.
Staff Support
- Schedule staff supervisions.
- Maintain a supervision tracker.
- Minute Supervisions
- File completed supervision records.
- Monitor probation reviews and appraisal dates.
- Support managers with general HR administration.
Recruitment Administration
- Communicate with successful candidates.
- Request and chase references.
- Prepare employment contracts.
- Prepare offer letters and onboarding packs.
- Monitor pre-employment compliance.
- Maintain recruitment trackers.

Essential Requirements
- Previous administrative experience.
- Good IT skills.
- Excellent written and verbal communication.
- Strong organisational skills.
- Ability to work independently.
- High level of confidentiality and professionalism.
Desirable
- Experience working within health, social care or education.
- Experience supporting recruitment or HR administration.
- Knowledge of Ofsted-regulated services.
- Experience using digital recording systems.
