Overview
We are looking for a Central Business Service Assistant who will provide administrative and coordination support to the Central Business Service (CBS) Team, helping to ensure that internal company processes, records, communications and projects are organised, consistent and delivered to agreed timescales.
The role is intended to support the overall objectives of CBS by assisting with day-to-day administration, document control, internal communications, recruitment administration, events support, SharePoint updates and general coordination tasks.
Duties
CBS Administration
- Provide general administrative support to the Central Business Service Team.
- Assist with maintaining CBS trackers, action logs and task lists.
- Help prepare papers, documents and supporting information for internal meetings.
- Assist with saving documents into the correct folders and ensuring records are easy to locate.
- Support the Management Assistant with follow-up actions from CBS meetings.
- Help maintain internal guidance notes, process documents and template documents.
- Assist with arranging internal meetings, issuing calendar invitations and tracking attendance where required.
Document control and SharePoint support
- Assist with uploading documents, updates and news items onto SharePoint.
- Help maintain SharePoint pages, links and document libraries as directed.
- Ensure documents are saved in the correct location and named consistently.
- Support updates to company templates, standard documents and internal forms.
- Assist with formatting internal documents so they are clear, consistent and professional.
- Help maintain version control for documents where appropriate.
Recruitment and new starter administration
- Assist with posting vacancies to agreed platforms and university portals.
- Help maintain recruitment trackers and follow up with recruitment agencies where directed.
- Assist with arranging interviews, diary invitations and candidate correspondence.
- Support the preparation of new starter items including induction documents, internal announcements, merchandise, business cards, website updates and email sign-off information.
- Assist with ensuring new starter information is passed to the correct internal teams in good time.
- Help maintain recruitment and onboarding checklists.
Training, wellbeing and HR administration
- Support the Management Assistant with administrative tasks relating to training events, graduate activity and company learning initiatives.
- Assist with collating attendance records and training information.
- Help file appraisal documentation and other HR documents into the relevant folders.
- Assist with wellbeing initiatives, healthcare communications and employee benefit administration where required.
- Help maintain records of company initiatives and staff communications.
- Provide administrative support for internal surveys, staff feedback exercises and follow-up actions.
Company communications, events and governance support
- Assist with preparing and uploading internal communications.
- Support the organisation of company days, staff events, internal briefings and marketing events where required.
- Assist with attendee lists, venue information, diary invitations and event materials.
- Help prepare internal posts, notices and reminders for review by the Management Assistant, Operations Director or Managing Director.
- Assist with maintaining records relating to complaints, claims, insurance, ISO, health and safety, GDPR, AML and other compliance areas as directed.
- Provide administrative support in relation to share transactions, board paperwork and company records where appropriate.
