Role Purpose
The Junior Finance Assistant will provide day-to-day administrative and transactional support to the Finance team, with a particular focus on accurate and timely data entry.
The role will be responsible for processing financial information, maintaining accurate accounting records and supporting the wider Finance team with routine finance activities.
This is a junior position and would suit someone looking to begin or develop their career in finance and accounting.
Key Responsibilities
Purchase Ledger
- Process supplier invoices accurately and promptly onto the accounting system.
- Check invoices against purchase orders and supporting documentation.
- Ensure invoices are correctly coded to the appropriate nominal account, department or project.
- Identify missing or incorrect information and raise queries with the appropriate person.
- Assist with supplier statement reconciliations.
- Maintain accurate supplier records.
- Assist with resolving routine supplier invoice queries.
- Ensure finance records and supporting documentation are filed and maintained appropriately.
Sales Ledger
- Assist with raising and processing customer invoices and credit notes.
- Accurately record customer and sales information within the relevant systems.
- Assist with allocating customer receipts against outstanding invoices.
- Support the Finance team with maintaining accurate customer account records.
- Assist with credit control
Bank & Transaction Processing
- Assist with entering and allocating bank transactions.
- Support regular bank reconciliations.
- Accurately process credit card and expense transactions.
- Ensure appropriate receipts and supporting documentation are available for transactions.
- Assist with investigating straightforward reconciliation differences.
Data Entry & Finance Administration
A significant part of this role will involve processing and maintaining financial data. Responsibilities will include:
- Entering financial information accurately into accounting and business systems.
- Checking information for accuracy and completeness before processing.
- Maintaining accurate supplier, customer and transaction records.
- Processing high volumes of routine financial transactions.
- Uploading and attaching supporting documentation to relevant transactions.
- Maintaining organised electronic finance records.
- Assisting with spreadsheets, reports and other finance administration.
- Identifying discrepancies or missing information and escalating these to the Finance Manager or appropriate member of the Finance team.
Month-End Support
- Assist the Finance Manager and wider Finance team with month-end activities.
- Ensure transactions for the month have been processed accurately and promptly.
- Assist with basic reconciliations and data checks.
- Provide supporting information and documentation when requested.
General Responsibilities
- Maintain a high level of accuracy and attention to detail.
- Handle financial and commercially sensitive information confidentially.
- Respond professionally to internal and external finance queries.
- Work collaboratively with colleagues across the business to obtain information required by Finance.
- Follow BGS Group's financial controls, policies and procedures.
- Support the Finance Manager and Finance Director with ad-hoc administrative and finance tasks as required.
Person Specification
Essential
- Strong attention to detail and accuracy.
- Comfortable working with numbers and financial information.
- Good organisational skills.
- Able to manage repetitive and high-volume tasks accurately.
- Basic to intermediate Microsoft Excel skills.
- Good written and verbal communication skills.
- Comfortable using computer systems and learning new software.
- Reliable and able to work to deadlines.
- Willingness to learn and develop within a finance environment.
Desirable
- Previous experience in an accounts, finance or administrative role.
- Experience processing purchase invoices or other financial transactions.
- Previous experience using accounting software.
- Basic understanding of purchase ledger, sales ledger and bank reconciliations.
- AAT qualification or an interest in working towards an AAT qualification.
Previous finance experience is desirable but not essential. We are particularly interested in candidates who are accurate, organised, comfortable working with data and keen to develop a career in finance.
