Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to provide essential support to our office operations. The successful candidate will play a vital role in ensuring smooth daily functions, managing correspondence, and maintaining accurate records. Duties
- Answering incoming telephone calls and responding to emails professionally.
- Managing customer enquiries and directing them to the appropriate team members.
- Scheduling engineer appointments and maintaining diaries.
- Preparing quotations, invoices, and general correspondence.
- Processing customer orders and updating internal systems.
- Entering purchase invoices accurately into the accounting system.
- Assisting with billing through Zendesk, ensuring invoices are raised accurately and on time.
- Processing recurring transactions and maintaining billing schedules.
- Assisting with credit control, including following up on outstanding invoices when required.
- Maintaining accurate customer records and filing documentation.
- Ordering office supplies and supporting general office administration.
- Providing administrative support to the management team.
The ideal candidate will have:
- Previous experience in an administrative or office support role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- A professional and friendly telephone manner.
- Excellent attention to detail and accuracy.
- Good IT skills, including Microsoft Outlook, Word, and Excel.
- Experience with accounting software and invoice processing would be advantageous.
- Experience using Zendesk or similar service management software would be beneficial, although training can be provided.
- The ability to prioritise tasks, work independently, and manage multiple responsibilities.
- Assist with invoicing, billing, and other financial administrative tasks using QuickBooks
- Support team members with administrative projects and general office duties
- Ensure the office environment remains tidy and organised at all times
- Handle mail distribution and maintain inventory of office supplies
Experience
- Proven office experience or administrative background is preferred
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with QuickBooks or similar accounting software is advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively
- Demonstrated typing speed and data entry accuracy
- Good telephone etiquette and professional communication skills
- Familiarity with clerical procedures and office management practices

Pay: £25,000.00-£27,000.00 per year
