Office Administrator / Maintenance Coordinator
Full-Time | Monday–Friday | 9:00am–5:30pm | Office-Based no WFH
Location: Fulham, SW6
We are a busy property maintenance company looking for an organised and proactive Office Administrator / Maintenance Coordinator to join our team.
This is a varied role where you will help manage the day-to-day administration of maintenance works, acting as a key point of contact between our clients, contractors and internal team.

Key Responsibilities
- Responding to client emails and general enquiries in a professional and timely manner
- Liaising with clients regarding ongoing maintenance jobs, appointments and updates
- Coordinating with contractors and engineers to ensure works are scheduled and completed
- Raising, updating and monitoring jobs through our work management systems
- Keeping job records accurate and up to date
- Following up contractors for job updates, photographs, reports and completion information
- Monitoring outstanding jobs and helping ensure deadlines are met
- Using Monday.com and BigChange to manage jobs, information and workflows
- Updating spreadsheets and maintaining accurate records using Microsoft Excel
- Preparing and organising documents, reports and general correspondence
- Assisting with invoices, purchase information and other basic bookkeeping tasks
- Liaising with our accounts team regarding invoices, payments and job information
- General office administration and supporting the management team where required
The ideal candidate will be organised, confident and comfortable working in a busy office environment where priorities can change throughout the day.

You should have:
- Previous administration or office experience
- Good Microsoft Excel skills
- Strong written and verbal communication skills
- Good attention to detail
- Confidence communicating with clients and contractors by telephone and email
- Good computer and general IT skills
- Ability to manage multiple jobs and priorities at the same time
- A proactive approach — able to chase outstanding information rather than waiting to be asked
- Good organisation and time-management skills

Experience using Monday.com, BigChange or similar job/work management software would be an advantage
Previous experience within property maintenance, repairs, facilities management, construction or housing would be beneficial but is not essential
This would suit someone who enjoys being organised, communicating with different people and taking responsibility for keeping jobs moving from initial instruction through to completion.

£26,000 – £32,000 per annum, depending on experience
