Office Administrator (Part-Time)
Salary: £27,000 per annum pro rata
Hours: Approximately 20 hours per week (around 4 hours per day), Monday to Friday. Flexible working hours during normal office hours.

The Opportunity
Our client is one of Huntingdonshire's most established and respected tree surgery businesses, trusted by homeowners, businesses, parish councils and local authorities alike. As their business continues to grow, they are seeking a highly organised Office Administrator to play a key role in supporting the smooth day-to-day running of this small but perfectly formed operation.
You'll become the first point of contact for customers, manage enquiries, organise quotations, diary management and work schedules, maintain business records and play a key role in ensuring the office runs smoothly and efficiently.
Full training will be provided, together with a company laptop and mobile phone.
This position would suit someone who enjoys organising people and processes, takes pride in delivering excellent customer service and is confident working independently from home.
The Role
Your responsibilities will include:
- Answering incoming telephone calls and responding to customer enquiries via email and voicemail.
- Booking quotation appointments for the company's surveyor, planning appointments in the most geographically efficient way to minimise travel time.
- Managing customer enquiries throughout the quotation and booking process.
- Scheduling accepted quotations into the work diary, taking account of customer requirements, staff availability, equipment requirements and existing work schedules.
- Confirming bookings with customers before work is carried out.
- Monitoring daily work schedules to help maximise team efficiency and profitability.
- Maintaining accurate records within the ServiceM8 job management system and associated Excel spreadsheets.
- Liaising regularly with the Business Manager and fellow administrator.
- Maintaining staff training and equipment maintenance records.
- Updating records to support the company's professional accreditations, including CHAS and Arboricultural Association Approved Contractor status.
Additional Duties (Desirable)
The successful candidate may also have the opportunity to assist with:
- Producing reports from the ServiceM8 job management system.
- Using AI tools to analyse job profitability and business performance.
- Social media and online marketing activities.
- Recruitment administration.
- Sales and marketing projects.
- Researching prospective customers.
- Assisting with Local Authority tender submissions.
The Person
The successful applicant will have:
Essential
- Previous office administration experience.
- Excellent telephone manner and customer service skills.
- As this is a home-based role, applicants must have a suitable, quiet workspace with a reliable broadband connection, enabling them to work professionally and without interruption.
- Knowledge of local geography would be very helpful.
- Strong organisational and diary management abilities.
- Experience scheduling appointments or coordinating workloads.
- Good working knowledge of Microsoft Excel and Microsoft Office.
Desirable
- Good IT skills, including Microsoft Excel and Outlook, are essential. Experience using scheduling or booking systems would be advantageous; however, full training will be provided on the company's ServiceM8 job management system.
- Experience producing reports or analysing business data.
- Knowledge of social media marketing.
- Experience supporting sales, marketing or recruitment activities.
