An exciting opportunity has arisen within College Reception for an Administrative Assistant (Finance and Trips) to join the existing team. The Administrative Assistant (Finance and Trips) will primarily undertake purchasing and invoicing and other tasks to support the finance administration at the College, working as a flexible member of the administrative team and supporting reception staff as required.
The start date will be 24th August 2026 (or as soon as possible after). Applicants will need to have a good standard of education including GCSE English and Mathematics (Grade C/4 or above, or equivalent). The post is permanent, full-time, full-year (52 weeks).
The major tasks are:
1. To assist the College/MAT Accountant with day-to-day and non-routine financial tasks.
2. To be responsible for the College purchase ledger including invoice and credit note coding, entering invoices on the system in a timely manner, chasing staff for invoices, supplier statement reconciliations and chasing any missing invoices, BACS processing, maintain paperwork and electronic records, and aged creditor reports.
3. To carry out purchase order administration.
4. To process expenses and training claims and to book staff training, liaising with the CPD Lead as appropriate.
5. To process ParentPay payments and refunds onto the College Accounting system and support the Student Finance & Travel Officer with ParentPay administration as required.
6. To process catering recharges, maintain daily catering journal and provide support with Blue Runner ParentPay as required.
7. To be perform online payments and Amazon purchases using a designated College credit card
8. To reconcile supplier accounts.
9. To process minibus recharges.
10. To liaise with insurance brokers regarding anything relating directly to WSFC.
11. To assist with the administration of trips and visits
12. To provide support for the College Receptionists with reception duties as required.
Salary: £26,818 increasing to £29,544 based on the sixth form colleges support staff salary spine points 9-12.
