Apex Clinic is Northern Ireland's largest physiotherapy and sports injury clinic, providing physiotherapy, massage and chiropody/podiatry services.

We're looking for a friendly, organised, and proactive Part-Time Receptionist to become an important part of our team. As the first point of contact for our patients, you'll play a vital role in creating a welcoming, professional, and caring experience from the moment they walk through our doors or contact us by phone.

About the Role
As a Receptionist, you will:
- Welcome patients warmly and ensure they receive a professional and friendly service.
- Answer incoming telephone calls, transfer calls, take accurate messages, and respond to enquiries efficiently.
- Manage the reception inbox and assist with general administrative tasks.
- Book new and follow-up appointments using our in-house booking system (full training provided).
- Explain appointment procedures and advise patients on fees for private services.
- Register new patients and accurately maintain patient records while maintaining strict confidentiality.
- Retrieve, update, and re-file patient records as required.
- Process payments, issue invoices and receipts, and assist with the daily reconciliation of income.
- Maintain a clean, organised, and welcoming reception area.
- Support colleagues with general administrative duties, including filing, scanning, photocopying, and document management.
- Ensure effective communication and handovers between reception team members.
- Participate in ongoing training to maintain the highest standards of customer service.
- Carry out any other reasonable duties required to support the smooth running of the clinic.
About You
We're looking for someone who is:

- Comfortable working in a fast-paced, busy reception environment.
- Able to multitask, prioritise effectively, and remain calm under pressure.
- An excellent communicator with outstanding customer service skills.
- Confident using Microsoft Office applications.
- Committed to maintaining patient confidentiality and delivering exceptional patient care.
Essential Criteria
- Minimum of 4 GCSEs (or equivalent), including English and Maths.
- Previous experience (within the last two years) in a customer-facing or reception role.
- Excellent telephone manner and interpersonal skills.
- Strong organisational and administrative skills.
- Flexibility to provide additional reception cover during periods of annual leave and staff sickness.
