Job Summary
We are seeking a dedicated and organised Lettings Administrator to join our team. The successful candidate will be responsible for providing essential administrative support across the lettings departments, ensuring smooth daily operations. We are a family run business, with a successful letting portfolio of over 400 properties in and around Maidstone. We are a family run business, our office is based on a farm, which offers much more than high street agents and those sick of working within the town centre. This is a busy role, and ideal for someone that has lettings experience.
This role offers an excellent opportunity for individuals with strong organisational skills and effective communication abilities to contribute to a dynamic organisation.
Duties
- Assisting with daily property operations, including rent collection, maintenance requests, and tenant enquiries
- Supporting the lettings team in the management of residential properties
- Organising and coordinating repairs and maintenance with landlords, tenants, and contractors
- Booking and carrying out routine property inspections and producing accurate reports
- Conducting property viewings for prospective tenants
- Preparing tenancy documentation and ensuring compliance with current legislation
- Managing renewals, referencing, deposits, and check-in/check-out procedures
- Handling tenant complaints and resolving issues promptly and professionally
- Maintaining accurate records of property income, expenses, and documentation
- Assisting with budgets and financial reports
- Updating property management systems and maintaining accurate records
- Assisting with the marketing and advertising of vacant properties
- Communicating with contractors and suppliers regarding property maintenance
- Providing general administrative support to the Property Manager and lettings team
Skills
- A valid UK driving licence and own vehicle (essential)
- Previous experience in administration (property or lettings experience preferred but not essential)
- Excellent written and verbal communication skills
- Strong organisational and time-management skills
- Confident and professional when dealing with clients, tenants, and contractors
- Good IT skills, including Microsoft Office and property management software (Vebra Alto)
- Knowledge of local property laws and regulations (or willingness to learn)
- Ability to work independently and as part of a team
