Job Overview
We are seeking an organised and customer-focused Shipping and Sales Administrator to support our sales, order-processing and dispatch operations.
The successful candidate will be responsible for processing customer orders, coordinating domestic and international shipments, preparing shipping documentation and providing administrative support to the sales team. This role requires excellent attention to detail, strong communication skills and the ability to manage multiple priorities in a busy environment.
Key Responsibilities
Sales Administration
- Process customer orders accurately and efficiently.
- Prepare quotations, order acknowledgements, invoices and credit notes.
- Respond to customer enquiries regarding pricing, stock availability, lead times and order status.
- Maintain accurate customer, product and pricing information within the company’s systems.
- Liaise with the sales, production, purchasing and warehouse teams to ensure orders are completed on time.
- Support the sales team with general administration, reports and customer correspondence.
- Monitor outstanding orders and proactively communicate any delays or changes to customers.
- Maintain accurate records of customer communications and transactions.
Shipping and Logistics
- Arrange UK and international shipments using approved courier and freight providers.
- Prepare dispatch paperwork, commercial invoices and packing lists.
- Ensure shipping information, commodity codes, weights and delivery addresses are accurate.
- Coordinate collections and deliveries with couriers, freight forwarders and customers.
- Track shipments and resolve delivery delays, damaged goods or missing consignments.
- Ensure orders are packaged, labelled and dispatched in accordance with customer and regulatory requirements.
- Obtain and compare freight quotations where required.
- Maintain accurate shipping and proof-of-delivery records.
- Support compliance with import and export procedures.
Customer Service
- Act as a key point of contact for customers throughout the order and delivery process.
- Provide prompt, professional and helpful responses to customer enquiries.
- Investigate and resolve order, delivery and invoice queries.
- Build positive working relationships with customers, suppliers and logistics providers.
- Escalate complex issues to the appropriate department when necessary.
Skills and Experience
Essential
- Previous experience in sales administration, order processing, shipping, logistics or a similar administrative role.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Confident written and verbal communication skills.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Ability to work independently and as part of a team.
- Ability to prioritise workload and meet deadlines in a fast-paced environment.
- Professional and customer-focused approach.
Desirable
- Experience within a manufacturing, engineering or industrial environment.
- Experience arranging international shipments and preparing export documentation.
- Knowledge of customs procedures, Incoterms and commodity codes.
- Experience using ERP, CRM or order-management systems.
- Familiarity with courier and freight-forwarding portals.

Working Hours
09:00 – 17:00, Monday to Friday.
