Role Summary
The Administrator will provide essential administrative support to immigration advisers and caseworkers. This role involves handling client communication, maintaining case files, managing documentation for meeting, and ensuring compliance with internal procedures, support the client businesses’ HR management. The ideal candidate will be detail-focused, proactive, and able to handle confidential information with discretion.
Key Responsibilities
1. Office & Administrative Support
· Act as the first point of contact for clients via phone, email, and in person.
· Schedule consultations, appointments, and follow-up calls for immigration advisers.
· Manage digital and paper filing systems in line with regulatory requirements.
· Prepare reports and follow-up after clients’ appointment.
· Assist with invoicing, payment tracking, and maintaining client records.
2. Client Support
· Provide high-quality, customer-focused support to clients throughout their immigration journey.
· Request and collect required documents for meetings.
· Ensure all collected documents meet UKVI standards and are accurately recorded.
· Provide updates to clients as directed by advisers, maintaining clear and professional communication.
3. Casework Support
· Input client information into case management/CRM systems.
· Assist advisers in preparing application bundles.
· Track deadlines, immigration timeframes, and key compliance dates.
· Support caseworkers with research, document organisation, and evidence checking.
4. Compliance & Confidentiality
· Follow internal compliance policies and adhere to IAA guidelines.
· Maintain strict confidentiality of all client information and sensitive documents.
· Support audits and internal quality assurance processes.
5. HR Documents Support
· Maintain and organise clients’ HR and employee records confidentially.
· Support onboarding, offboarding, leave, absence, probation, and employee changes.
· Ensure HR records and documentation are accurate, complete, and up to date.
· Liaise with clients and employees to collect information and resolve documentation queries.
· Prepare HR reports and maintain secure electronic and physical filing systems.
· Provide general HR administrative support while escalating complex employment matters when required.
Skills & Qualifications
- Preferred candidates have Bachelor’s Degree in Law or related fields.
- Previous administrative experience, ideally within immigration, legal, or professional services.
- Excellent communication skills, both written and verbal.
- Strong organisational and time-management abilities.
- Willingness to learn.
- High attention to detail and accuracy when handling documents.
- Proficient with Microsoft Office, Outlook, and CRM/case management systems.
- Ability to work under pressure and manage multiple tasks.
- Professional, supportive, and client-focused attitude.
