Job Purpose
The Business Administration Apprentice will support the day-to-day running of Appointee Services Ltd by carrying out a range of administrative duties. The apprentice will assist the wider team in providing an efficient service to vulnerable adults, local authorities, care providers and partner agencies whilst developing their administration, customer service and office management skills through practical experience and formal apprenticeship training.
The apprentice will play an important role in ensuring accurate record keeping, effective communication and the smooth operation of the office.

Roles and Responsibilities
The role is primarily, but not limited to, the following activities:
General Administration
- Scanning, filing, electronic document storage and archiving of client records.
- Maintaining accurate filing systems and ensuring documents are stored securely in line with GDPR, Data Protection and Confidentiality requirements.
- Processing incoming and outgoing post.
- Preparing and recording Proof of Posting (POP) mail.
- Photocopying, printing and preparing documents as required.
- Monitoring shared inboxes and directing correspondence to the appropriate team member.
- Updating client records and maintaining accurate information on company systems.
- Supporting colleagues with general administrative tasks as required.
- Monitoring returned post and updating client records accordingly.
- Assisting with the preparation and distribution of standard correspondence, forms and information packs.
Client and Agency Support
- Preparing bank account opening letters once BF57 authority has been received.
- Making routine telephone calls to the Department for Work and Pensions (DWP) following training and guidance.
- Making routine telephone calls to utility providers and other organisations to obtain information or progress requests.
- Recording accurate notes of conversations and updating client records.
- Chasing outstanding documentation from clients, care providers, local authorities and partner agencies.
Reception and Visitor Support
- Meeting and greeting visitors in a professional and friendly manner.
- Assisting visitors with signing in and directing them to the appropriate member of staff.
- Answering and directing telephone enquiries appropriately.
- Booking meeting rooms and ensuring they are prepared for meetings, interviews and visits.
- Arranging refreshments for visitors and meetings when required.
Office Support
- Maintaining stationery and office supply stock levels.
- Monitoring office equipment supplies including printer paper and toner.
- Reporting faults with office equipment to the appropriate person.
- Assisting with office organisation and general housekeeping.
- Supporting business projects and company initiatives where required.
Compliance and Safeguarding
- Maintaining confidentiality at all times.
- Handling personal and sensitive information in accordance with company policies and GDPR requirements.
- Reporting safeguarding concerns immediately to the appropriate manager.
- Following all company policies, procedures and professional standards.
- Completing all mandatory training and apprenticeship requirements.
- Promoting the values and reputation of Appointee Services Ltd at all times.
Training Requirements
In addition to mandatory induction and health and safety training, the successful candidate will undertake a recognised Business Administration Apprenticeship programme and may be required to attend further training courses relevant to their role.
